Duties
- Greet visitors, vendors, and customers warmly while maintaining a professional demeanor at all times
- Manage multi-line phone systems to handle incoming calls promptly and direct inquiries appropriately
- Maintain accurate data entry records using computer skills and software such as Microsoft Office (particularly email), Quickbooks, or/and Sage Peachtree.
- Handle clerical tasks including filing, write up jobs by delivery date and route to correct department, ship completed jobs, and work with drawings of parts.
- Provide exceptional customer service by assisting visitors with inquiries and supporting internal teams with administrative needs
- Perform all avenues of Sage Peachtree accounting software.
- Maintain confidentiality of sensitive information while adhering to office policies and procedures
- Support additional administrative duties such as typing reports, supporting data entry projects, and assisting with personal assistant responsibilities when required
Skills
- Two (2) years experience in office administration or clerical roles within industrial or corporate environments
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), and Sage Peachtree.
- Excellent phone etiquette with experience managing multi-line phone systems in a professional setting
- Exceptional organizational skills with the ability to prioritize tasks efficiently and manage time effectively
- Accurate typing skills coupled with keen proofreading abilities to produce error-free documents
- Experience in customer service roles or as a receptionist.
- Knowledge of office management procedures including filing systems, data entry, and record keeping
- Strong interpersonal skills to support customer support initiatives and foster positive interactions at the front desk
- Ability to handle multiple responsibilities simultaneously while maintaining professionalism under pressure
- Familiarity with office equipment such as multi-line phones, fax machines, printers, and scanners
