Position Summary

This frontline position requires daily contact with the public and assesses specific concerns and provides direction and insight toward the proper agency, department, or government office. This individual is responsible for performing a wide variety of clerical, technical, and administrative work in support of the County Health Services department, including knowledge of Chapter 61, Texas Health and Safety Code

Essential Functions

  • Maintains up to date knowledge of each Health Services Programsin order to answer questions and connect callers and visitors to correct program or staff member
  • Answers calls using multi-line phone system; directs calls appropriately
  • Responsible for intake applications for all programs; gathers all required details and directs information to appropriate person
  • Schedules applicant interview appointments
  • Performdata entry into designated software systems as required
  • Photocopies and/or scans documents and paperwork form applicants/clients and distributes appropriately
  • Performs clerical duties including but not limited to faxing, copying, scanning, typing and data entry
  • Sorts and distributes incoming mail
  • Stamps all incoming documents and mail with date received, distributes appropriately
  • Keeps current record of staff members work schedules and availability
  • Assists Health Services staff in requested and assigned clerical duties including but not limited to: creating charts and files, making copies of forms and paperwork, mail outs, creating applicant and client packets as needed
  • Monitors office supply inventory
  • Monitors department community closet contents and distributions
  • Participate in community outreach events
  • Posts notices such as Office Closures or other relevant communication as needed
  • Secures and maintains front desk organization and equipment, ensures necessary equipment has been turned off at the end of each day; secures confidential information, etc.
  • Opens and closes the office by locking doors, turning the lights on/off. Ensures the office and lobby area are clean
  • Make process improvement recommendations to Program Administrator and Director
  • Regular attendance and timeliness are required

  • High School Diploma or GED
SKILLS ~ EXPERIENCE:
Required:
  • 1 year of experience in a clerical, office coordinator or similar position
  • Self-starter with exceptional organizational, communication (written and verbal), and interpersonal skills
  • Requires strong computer (PC) skills and the ability to operate all standard office equipment
  • Previous Windows, Microsoft Word, Excel, Access, and/or WordPerfect experience
  • Ability to listen to clients, elicit, relate and evaluate information and interpret terms
  • Ability to read, understand, and apply a variety of interrelated instructions, such as those found in guidelines, regulations and policies
  • Expected to conduct self in a way that sets you apart by being an example and encourages a culture of excellence with commitment to quality
  • General knowledge of basic arithmetic, algebra and statistics including add, subtract, multiply, divide, interest, decimals and percentages
  • General knowledge of community organizations, agencies and facilities related to entitlement programs
  • Exceptional skill in establishing and maintaining effective working relationships with County staff, service organizations, and the general public
  • Possess excellent communication skills in expressing oneself clearly and concisely, both orally and in writing
  • Thorough understanding of the importance of confidentiality and non-disclosure according to the general standards set forth by HIPAA

ENVIRONMENTAL FACTORS: Individual works indoors in well-lighted, air-conditioned office. Position may require travel to meetings, conferences and workshops as a representative of the County.
PHYSICAL DEMAND REQUIREMENTS:


  • Frequent sitting, standing, bending and walking
  • Includes a small amount of light-lifting (30-40 lbs.) and carrying up light loads for distances of up to 120 ft.
  • Continuous reading and communicating both on the telephone and in person
  • Continuous use of the computer and keyboard
HOURS / SPECIAL CONDITIONS: The position schedule is 7:30 a.m. to 6:00 p.m., Monday to Thursday.

McLennan County will conduct background checks on new hires that will include a criminal background check related to convictions and deferred adjudications in the past seven years and may include credit reports, motor vehicle records, employment records, and educational attainment.
