Job Description

Position Title: Administrative Assistant – HR(Exempt, 12 Month)

Department: Human Resources

Reports To: Director of Human Resources

FLSA Classification: Exempt

FTE: 1.0

Position Summary

The Administrative Assistant for Human Resources provides essential administrative support to the HR department, with a focus on employee onboarding and maintaining accurate HR data. This position ensures compliance with federal and state employment laws, Illinois School Code, and Board of Education policies while supporting a positive and efficient onboarding experience for all new employees.

Essential Duties And Responsibilities

  • Maintain and ensure accuracy of employee information within HRIS platforms such as Tyler School ERP Pro, Frontline Recruitment & Hiring, and GCN.
  • Conduct regular quality checks to verify data integrity across all HR systems.
  • Schedule and conduct in-person onboarding appointments with new employees.
  • Ensure all required employment documentation is collected, verified, and compliant prior to hire; follow up with new employees regarding any missing materials.
  • Enter new employee information into HRIS systems and process employment status changes, including name, address, and position updates.
  • Collaborate with the Payroll department to ensure timely and accurate processing of employee information.
  • Assist with planning and facilitating new hire orientation sessions.
  • Provide administrative and technical support to the HR team as needed.
  • Perform other related duties as assigned.

Qualifications

  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
  • Previous experience in Human Resources or administrative support strongly preferred.
  • Proficiency in Microsoft Office (Word, Excel) and Google Workspace (Drive, Docs, Sheets, Forms).
  • Experience using HRIS systems and maintaining data accuracy; Tyler School ERP Pro experience preferred.
  • Excellent attention to detail, organizational skills, and ability to manage multiple priorities.
  • Demonstrated professionalism, discretion, and ability to maintain confidentiality.
  • Strong interpersonal and communication skills; comfortable meeting and assisting employees in person.
  • Ability to work independently with minimal supervision.
  • Must be able to sit and work at a computer for extended periods of time.
  • Regular, consistent attendance required at assigned work locations.

Compensation And Benefits

  • Salary Range: $41,000 – $52,000 (commensurate with education and experience)
  • Benefits: Fully Board-paid Medical, Dental, and Vision insurance available
