Job description:
The Accounting Clerk reports to the Assistant Controller and Controller and is responsible for supporting daily accounting operations and office administration. This role primarily focuses on assisting with the accounts payable process, document management, and providing essential support to the Project Accountant, accounting team, and remote Payroll & Compliance Specialist to ensure accurate records, timely processing, and smooth office operations.
Essential Duties and Responsibilities:
- Assist in running the full accounts payable process under the supervision of the Assistant Controller
- Track invoices, ensure proper documentation is received, and maintain accurate vendor and project records
- Work with vendors and internal staff to investigate and resolve billing discrepancies in a timely manner
- Review incoming mail daily, scan and upload invoices for processing, and log joint checks accurately in the system
- Distribute mail and documents to appropriate team members
- Assist the Project Accountant and Controller with various accounting tasks and maintain organized financial and project documentation
- Support the remote Payroll and Compliance Specialist by organizing payroll and compliance-related documents
- Maintain organization of shared office spaces and keep the kitchen bulletin board updated and professional
- Perform general administrative and clerical tasks as needed to support the accounting and operations teams
- Ensure adherence to company policies and help maintain accurate financial records and filing systems
Skills & Knowledge
- Strong proficiency with Microsoft Office (especially Outlook, Excel, and Word).
- Familiarity with construction accounting software and systems (Sage Intacct, ComputerEase (CE), GCPay, or similar).
- Excellent attention to detail, organizational skills, and the ability to manage multiple tasks and deadlines.
- Basic knowledge of accounts payable processes and general accounting principles.
- Strong communication skills and ability to collaborate effectively with accounting staff, project teams, and vendors.
- Experience handling confidential financial documents with professionalism and discretion.
- Ability to work independently while supporting a fast-paced construction accounting environment.
Qualifications:
- 1 year of administrative or accounting experience (construction or accounts payable experience strongly preferred).
- High school diploma or equivalent required; Associate’s degree or coursework in Accounting, Business, or related field preferred.
- Proficiency in Microsoft Office and willingness to learn construction-specific software (Sage Intacct, ComputerEase, GCPay).
