Part-Time Church Bookkeeper / Administrative Clerk
Position Summary: The Part-Time Church Bookkeeper / Administrative Clerk provides part-time administrative and bookkeeping support for a small Southern Baptist church. This role helps ensure that office operations, financial records, vendor payments, contribution records, and communications are handled accurately, confidentially, professionally, and in a Christ-honoring manner.
Employment Status: Part-time, non-exempt hourly position. Expected schedule and hours will be determined by church needs and approved by church leadership.
Administrative Responsibilities
- Manage routine church office operations in an organized, accurate, and welcoming manner.
- Serve as an office contact for members, visitors, vendors, ministry leaders, and community partners, directing questions to the appropriate staff or ministry area as needed.
- Maintain office supplies, equipment coordination, mail, correspondence, records, and general office organization.
- Support staff and ministry leaders with scheduling, document preparation, meeting support, calendar coordination, facility requests, and event logistics.
Bookkeeping Responsibilities
- Record and code funds received to the appropriate approved fund or account, such as general offerings, missions, designated gifts, and special funds.
- Maintain accurate contribution information and provide donor and giving records to the accounting firm for year-end reporting.
- Receive, review, code, and submit approved invoices, credit card statements, reimbursements, and other payment requests to the accounting firm in a timely manner.
- Confirm that expenditures are properly documented and approved according to church policies before submission.
- Collect account codes and supporting documentation for credit card and ministry-related expenditures.
- Work with the accounting firm to provide accurate and complete documentation for funds received and disbursed.
- Review monthly financial reports and communicate with the Church Treasurer, Finance Committee, accounting firm, and church leadership as appropriate.
- Provide ministry financial information to authorized staff, ministry leaders, or church members when appropriate and consistent with church policies.
- Maintain financial and related records according to the church’s record-retention policy.
Qualifications
- Commitment to supporting the mission, values, and ministry of the church with professionalism, integrity, confidentiality, and a Christ-centered spirit.
- Prior experience in office administration, bookkeeping, accounting support, finance coordination, or a related administrative role.
- Working knowledge of basic bookkeeping practices, accounts payable, contribution records, financial recordkeeping, reconciliations, and budget tracking.
- Ability to prepare accurate records and reports and handle confidential financial, personnel, and member information with discretion.
- Proficiency with Microsoft 365 or similar office tools, including word processing, spreadsheets, email, calendars, and basic bookkeeping or financial software.
- Strong written and verbal communication skills and the ability to interact graciously with staff, church members, ministry leaders, vendors, and visitors.
- Strong organizational skills, attention to detail, dependability, and ability to manage recurring responsibilities and deadlines.
- Ability to work independently and collaboratively in a ministry-focused environment.
Supervision
The Part-Time Church Bookkeeper / Administrative Clerk reports to the Senior Pastor and works closely with the Church Treasurer, Finance Committee, accounting firm, and church leadership.
Compensation
This is a part-time, non-exempt hourly position. Compensation will be commensurate with experience and qualifications and administered in accordance with applicable law and church policies.
