Job Overview

McDonald Carano LLP is seeking a full-time Client Relationship Specialist to join our Trust & Estates Practice Group in our Reno office. Our firm has two office locations, in Reno and Las Vegas, supporting Nevada's business law needs since 1949.

This role serves as the primary point of contact for clients throughout the estate planning and trust administration process, ensuring an exceptional client experience. The ideal candidate will be highly organized, energetic, and client-focused, providing a concierge-level experience to individuals and families. This position works closely with attorneys, legal support staff, family trust companies, and outside advisors while coordinating communications, meetings, documentation, and client follow-up.

Responsibilities:

Client Relationship Management

  • Serve as the primary client contact for routine communications and requests.
  • Deliver an exceptional, responsive, and professional client experience.
  • Build positive relationships with clients, family members, financial advisors, accountants, and other professional contacts.
  • Respond promptly to client inquiries and coordinate requests with attorneys and legal support staff.
  • Track open client requests and ensure timely follow-up and resolution.
  • Proactively communicate project status updates and next steps.

· Meeting and Calendar Coordination

  • Coordinate client meetings, estate planning signings, consultations, and conference calls.
  • Manage attorney calendars related to Trust & Estates matters.
  • Schedule and confirm appointments with clients, advisors, and family members.
  • Prepare meeting materials and ensure all logistics are completed in advance.
  • Coordinate virtual and in-person meetings and assist with meeting follow-up.

Document and Information Coordination

  • Coordinate the delivery of estate planning documents, trust documents, and related correspondence.
  • Assist with locating documents, files, and client records.
  • Facilitate requests for copies of estate planning, trust, and corporate documents.
  • Maintain accurate records within the firm's document management and case management systems.
  • Coordinate secure distribution of sensitive client information.

Practice Support and Client Experience

  • Monitor client workflows and help identify opportunities to improve efficiency and service.
  • Assist with family trust company and private wealth client administration activities.
  • Maintain a concierge-level approach to client interactions.
  • Support attorneys and legal support staff by managing client-facing administrative activities.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Participate in special projects and other duties as assigned.

Skills and Qualifications:

  • Proficiency in Microsoft Office Suite products (Word, Excel, PowerPoint, Outlook, Teams) and Adobe Acrobat; experience with document management systems (NetDocs a plus).
  • Exceptional interpersonal and relationship-building skills, with a natural ability to provide outstanding customer service.
  • Strong organizational and time management skills with the ability to prioritize and meet tight deadlines.
  • High level of attention to detail, accuracy, and follow-through.
  • Strong written and verbal communication skills, with the ability to interact effectively with clients, attorneys, court personnel, and opposing counsel.
  • Demonstrated ability to manage multiple tasks and adapt quickly to shifting priorities in a high-volume environment.
  • Ability to apply new resources and technologies.
  • Ability to work independently while contributing as part of a team.
  • Flexibility to work occasional overtime as workload demands.
  • Professional demeanor and ability to maintain an organized, polished work environment.

Education and Experience:

  • Bachelor’s degree in Communications, Marketing, Business Administration, Hospitality or a related field preferred.
  • 3 years of customer service, client service, relationship management, banking, trust company, wealth management, hospitality, or professional services experience preferred.
  • Experience within a financial institution, trust company, accounting firm, law firm, or family office is highly desirable.
