Requirements
ESSENTIAL RESPONSIBILITIES
Executive & COO Support
- Manage and protect the COO’s calendar, priorities, and follow-ups.
- Prepare agendas, materials, and notes for leadership meetings, project meetings, and key sessions.
- Track and follow up on COO-assigned action items across departments.
- Ensure nothing falls through the cracks for executive-level initiatives.
- Own timelines, milestones, and deliverables for firm-wide projects.
- Track progress, surface risks, and push work to completion.
- Coordinate cross-department teams to keep initiatives moving.
- Ensure projects close with documentation, training, and handoff.
- Support rollout, adoption, and optimization of technology, automation, and workflows.
- Partner with IT, Finance, Legal Ops, and Marketing to ensure systems work together.
- Track and manage tech-enabled projects, migrations, and process improvements.
- Act as the connective tissue between departments for major initiatives.
- Ensure teams have what they need, when they need it, to execute.
- Identify bottlenecks and escalate or solve before they slow delivery.
- Ensure SOPs, workflows, and training materials are created or updated for completed projects.
- Maintain project trackers, roadmaps, and reference materials so execution is visible and repeatable.
- College coursework, Associate’s degree, or equivalent professional experience preferred.
- 2 years of experience in project coordination, operations, executive support, or business administration.
- Strong organizational and time-management skills.
- Ability to juggle multiple projects, deadlines, and priorities without losing control.
- Proficiency with productivity tools, project trackers, and collaboration platforms.
- Strong written and verbal communication skills.
- High level of discretion and professionalism.
- Comfortable working with leadership and across departments.
