Requirements
ESSENTIAL RESPONSIBILITIES
Medical Records Retrieval & Processing (All Levels)
- Submit, track, and follow up on medical records requests, including medical, billing, radiology, and related documentation.
- Communicate with medical providers, custodians, and vendors to obtain records within established timelines.
- Document all requests, communications, and received records accurately in the case management system.
- Route received records promptly and ensure visibility for downstream teams.
- Review incoming medical records for completeness, accuracy, and basic admissibility standards.
- Identify missing information, inconsistencies, or documentation gaps and take corrective action or escalate as appropriate.
- Identify and flag potential lien indicators found within medical records and ensure proper notation and timely handoff to the Lien Team.
- Handle protected health information in compliance with HIPAA, confidentiality requirements, and firm policies.
- Maintain organized, accurate, and audit-ready records documentation.
- Communicate status updates, delays, or issues to the Medical Records Team Lead.
- Escalate questions, risks, or delays promptly when issues fall outside assigned scope or authority.
- Support team execution through reliability, organization, and professionalism.
- 1 years of experience in medical records retrieval or records operations in a regulated environment preferred
- Demonstrated ability to work in a task-driven, deadline-sensitive setting with accuracy and follow-through
- Strong organizational and prioritization skills with attention to detail
- Familiarity with HIPAA requirements and confidentiality standards for protected health information
- Ability to manage an assigned caseload while maintaining quality and documentation standards
- Proficiency with case management systems, records tracking tools, and standard office software
