The Administrative Coordinator will be responsible for and work proactively with Operational Leadership and Client Teams to ensure the smooth execution of day-to-day requirements of the McChrystal Group team. The Coordinator will assist in planning, coordinating, and executing the administrative and operational aspects of event support in collaboration with operations and client teams. Additionally, this role will oversee personal and household tasks for McChrystal Group leadership, ensuring that their day-to-day lives run smoothly and in compliment to their McChrystal Group commitments.
Knowledge, Skills and Abilities
Client Delivery: The Administrative Coordinator engages in strong partnership with operations and client teams to take care of the administrative planning and delivery of our client events. They embody a no task is too small mentality, ensuring that the details of client experiences at MGHQ are seamless, spaces are clean and well organized, and client materials are in order when needed. They also closely engage with McChrystal Group leadership to ensure their personal needs are managed consistently, reliably, with attention to detail, and an exceptional level of care.
Sales: While not directly involved in sales, the Administrative Coordinator plays a supportive role in the sales process. Taking care of the administrative needs of McChrystal Group leaders enables the team to focus on client engagement, enhanced management of the business, and closing deals.
Job Knowledge: An understanding of administrative responsibilities, event support, and personal and household management is essential for the Administrative Coordinator. They should be well-versed in managing the administrative requirements for events, their role in helping deliver McChrystal Group objectives, and executing personal and household management requirements that keep the operations running smoothly.
People: The role requires excellent interpersonal skills to interact positively with both team members and clients. The Administrative Coordinator should be approachable, proactive, detail oriented, service-led, and caring, contributing to a friendly and professional office environment.
Culture: The Administrative Coordinator contributes significantly to the workplace culture. They set the tone for the office environment and are often responsible for contributing to initiatives that promote a positive, inclusive, and collaborative work atmosphere.
General Responsibilities- Administrative Support
- Manage mail, personal correspondence, and other administrative requirements for McChrystal Group leadership.
- Assist with scheduling and coordination of appointments, meetings and travel arrangements.
- Collaborate with client teams to plan and execute events, ensuring that all administrative components are handled efficiently.
- Personal & Household Management
- Assist in managing household tasks such as grocery shopping, gift planning, classroom responsibilities and outlining necessary errands.
- Handle children-related activities such as scheduling after-school programs, ensuring transportation and overseeing extracurriculars.
- Run personal errands for leadership such as picking up dry cleaning, managing packages, and shopping for special items.
- General Administrative Tasks
- Maintain accurate records, budgets and invoices for events and personal services.
- Organize and manage leader's calendar, keeping track or birthdays, anniversaries and other special events.
- Handle other administrative duties as needed, ensuring smooth day to day operations.
- Education: High school diploma or equivalent required; Associate degree preferred
- Experience: Two or more years of administrative or hospitality experience required; experience supporting personal and household management preferred
- Skills: Proven proficiency in Microsoft Word, Excel, PowerPoint and Outlook; Strong written and verbal communication skills
- Abilities: Excellent follow through, ability to balance and adapt to multiple, shifting priorities, ability to take initiative and complete tasks independently, adept to finding solution to complex challenges, ability to manage both personal and professional tasks with ease, high level of confidentiality and professionalism when handling sensitive information
- The work environment requires the ability to stand and sit for long periods of time.
- Needs to be able to work evenings, weekends, holidays, and overtime as necessary.
- Required ability to travel independently via car, train, plane, or other methods to MGHQ or client site.
- Required ability to safely oversee children and their transportation.
