Schedule: Full-Time, M-F 9-5 pm.
About the Role
We are seeking a highly organized, compassionate Intake Coordinator to serve as the first point of contact for new patients. The primary focus of this role is to answer new patient calls and emails, provide clear and supportive communication, and schedule new intakes efficiently and accurately. This position requires someone who can offer a calm and caring presence while maintaining strict confidentiality and HIPAA compliance.
Primary Responsibilities
New Patient Communication & Scheduling
- Answer all new patient phone calls and email inquiries with professionalism and empathy.
- Provide information about services, intake processes, and clinic procedures.
- Schedule new patient intakes, ensuring accuracy and timely follow-up
- Enter new patient demographic information and verify completeness of required forms.
Additional Responsibilities
While scheduling and patient communication are the core focus of this position, the role also includes essential administrative tasks that support smooth daily operations:
Administrative & Office Support
- Maintain the cleanliness and organization of all common areas.
- Retrieve and distribute incoming mail.
- Keep hard-copy forms stocked and monitor general supply inventory.
- Order office and testing supplies when needed.
Document & Record Management
- Scan and organize documents (to-be-scanned materials, testing documents, records).
- Upload all received paperwork into the appropriate systems.
- Send intake paperwork, ROIs, and over-18 forms; track completion and follow up as needed.
- Update intake forms and upload new versions when changes occur.
Scheduling Support
- Assist with general scheduling when needed.
- Provide scheduling coverage when the primary scheduler is out of the office.
Qualifications
- Strong organizational skills and attention to detail.
- Warm, calm, and caring communication style.
- Ability to maintain strict confidentiality and uphold HIPAA regulations.
- Comfort handling a high volume of calls, emails, and administrative tasks.
- Experience in healthcare or patient intake is preferred but not required.
Education:
- High school or equivalent (Required)
Experience:
- Customer service: 1 year (Preferred)
- Computer skills: 1 year (Preferred)
