Role Description This is a full-time, on-site Dispatcher/Clerk/Billing role based in Newark, NJ. The person in this position will coordinate daily service calls, schedule and dispatch technicians and drivers, and monitor job status to ensure timely completion and customer satisfaction. Responsibilities include answering phones, entering work orders, maintaining service and delivery logs, and updating customers and internal teams on job progress. The role also involves preparing invoices, verifying work order accuracy, processing billing in a timely manner, and resolving basic billing questions or discrepancies. Additional duties include maintaining organized records, supporting inventory and parts tracking related to jobs, and collaborating with service, sales, and accounting teams to support efficient operations.
Qualifications
- Strong dispatch and coordination skills, including scheduling, routing, and tracking service calls and technicians.
- Clerical and administrative abilities such as data entry, recordkeeping, filing, and managing service documentation.
- Billing and basic accounting skills, including invoice preparation, billing review, and resolving simple discrepancies.
- Customer service skills, including professional phone etiquette, clear communication, and the ability to handle inquiries and concerns calmly.
- Proficiency with computers and office software (e.g., MS Office, dispatch or service management systems); ability to learn company-specific systems.
- Strong attention to detail, organizational skills, and the ability to manage multiple tasks in a fast-paced environment.
