Position Description:
Our Project Assistant provides back office support for our construction projects. This position requires a high level of attention to detail when reviewing and filing documents, preparing Excel spreadsheets, and assisting with our project bidding processes. The Project Assistant is responsible for accounts receivable duties in multiple systems, including Viewpoint, Procore, and Textura. They also set up new projects in Viewpoint and create job numbers/phase codes for Project Managers, Superintendents, and Foremen.
The Project Assistant works Monday through Friday 7:30am to 4:00pm. This position is not eligible for telework.
Job Requirements:
- Set up new projects in Viewpoint to create job numbers and phase codes. Adds additional phase codes when requested.
- Sends subcontracts to subcontractors and follows up for completion.
- Reviews Certificates of Insurance for non-compliance.
- Manages bid bonds, payment, performance and maintenance bonds, and bond riders.
- Notarizes documents when necessary.
- Assists Project Managers with prequalification documentation.
- Assists Payroll Manager with certified payroll processing and inquiries.
- Additional administrative duties as assigned.
Qualifications:
- High school diploma or GED required. Associate's degree preferred.
- Able to demonstrate a high level of attention to detail.
- Must have outstanding customer service skills and professional demeanor.
- Must have effective time management skills and be able to work independently.
- Intermediate proficiency in Office 365 Suite, including Outlook, Excel, and Word, required.
Compensation: Starting at $22-24 per hour depending on experience.
