Job Description
The Executive Assistant is responsible for providing confidential administrative support and office management for the President, General Counsel and other executive officers as assigned. The incumbent serves as liaison and coordinates activities between the Office of the President, other departments of the company, and Board of Governors, and other stakeholders; and maintains relationships with management, employees, and other stakeholders.
The primary duties and responsibilities of the Executive Assistant include, but are not limited to:
- Assisting President, General Counsel and other executive officers with any and all administrative functions and related duties to ensure timely attention and turn-around.
- Serving as liaison and coordinating activities between the Office of the President, other departments of the company, and Board of Governors, and other stakeholders;
- Communicating and/or coordinating President’s instructions and/or decisions with various individuals and/or Departments.
- Drafting correspondence and other documents as requested.
- Organizing and maintaining the legal files of the organization.
- Performing factual research (e.g., excerpting information from files, compiling data, on-line searches, etc.). Analyzing findings and preparing written or oral summaries for the General Counsel.
- Acting as liaison with vendors.
- Managing, organizing and expediting flow of work as directed and initiate follow-up action.
- Receiving and screening telephone calls, letters, and/or visitors. Answering routine questions, obtaining and furnishing information with discretion.
- Scheduling appointments and arranging meetings, conferences and travel.
- Organizing and maintaining President’s correspondence and records, following up on pending matters with limited direction.
- Organizing and preparing complex documents and presentations requiring integration of multiple office technology and software applications.
- Preparing reports by gathering, summarizing and analyzing data.
Qualifications
Five to ten years of experience providing executive level administrative support.
- Ability to manage duties of a confidential nature with a high degree of responsibility and tact.
- Advanced skills working with Microsoft Word, Excel and PowerPoint.
- Excellent organizational skills.
- Excellent verbal and written communication skills.
- Ability to multi-task, prioritize and work independently on special projects.
- Ability to write minutes of meetings.
- Arabic speaker highly desired.
