Job Summary

We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, managing front desk operations with efficiency and professionalism. This role requires excellent communication skills, strong organizational abilities, and proficiency in office management tools. The Receptionist will handle a variety of administrative tasks, support customer service efforts, and ensure smooth daily operations within our office environment. Experience with office management systems such as QuickBooks, Microsoft Office, and Google Workspace is highly desirable. Bilingual skills are a plus to effectively serve diverse clients and visitors.

Responsibilities

  • Greet visitors and clients warmly, providing exceptional customer service at all times
  • Manage multi-line phone systems, directing calls appropriately and taking detailed messages
  • Handle front desk duties including scheduling appointments, maintaining visitor logs, and managing mail distribution
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Utilize office management software such as QuickBooks and Microsoft Office for administrative tasks
  • Support calendar management and appointment scheduling for staff members
  • Assist with bookkeeping tasks and basic office management duties as needed
  • Maintain a professional appearance of the reception area and ensure it is tidy at all times
  • Provide support with customer support inquiries via phone or email, demonstrating excellent phone etiquette
  • Support clerical tasks including typing, proofreading, and organizing documents to facilitate smooth office operations

Experience

  • Prior office experience or administrative experience is preferred
  • Familiarity with front desk operations, multi-line phone systems, and office management software such as QuickBooks and Microsoft Office Suite
  • Bilingual abilities are advantageous for serving diverse clientele effectively
  • Strong organizational skills with attention to detail in data entry, filing, and proofreading tasks
  • Excellent communication skills both verbal and written, with a focus on customer service and phone etiquette
  • Proven ability to manage time efficiently in a fast-paced environment
  • Experience in medical or dental receptionist roles is a plus but not required
  • Personal assistant or medical receptionist experience can be beneficial for understanding specialized workflows
