The Recruiting Coordinator, Staffing Specialist – Personal Services is responsible for managing and coordinating recruitment and staffing activities from job posting through offer acceptance. This role ensures timely, high-quality hiring for personal services positions by delivering an excellent candidate experience, supporting hiring leaders, and maintaining accurate recruitment records. Upon offer acceptance, the role executes a clear handoff to HR for onboarding and employment processing.
Key Responsibilities
Recruitment & Staffing (Job Posting to Offer Acceptance)
- Create and post job openings for personal services roles across approved job boards and internal platforms
- Source and screen candidates to assess qualifications, availability, reliability, and customer service mindset
- Coordinate and conduct initial candidate outreach, interviews, and follow-ups
- Partner with hiring managers and operations leaders to align on staffing needs, priorities, and selection decisions
- Manage candidate movement through the applicant tracking system (ATS), ensuring accurate and timely updates
- Prepare and extend offers in alignment with approved compensation, schedules, and start expectations
- Maintain consistent communication with candidates through offer acceptance to ensure engagement and commitment
Candidate Experience & Coordination
- Serve as the primary point of contact for candidates throughout the recruitment process
- Provide clear guidance on role expectations, next steps, and timelines
- Proactively address candidate questions or concerns to reduce fall-off prior to offer acceptance
- Ensure a professional, respectful, and customer-focused hiring experience
Compliance, Documentation & Reporting
- Ensure recruitment documentation is complete and compliant through the offer stage
- Maintain accurate candidate and requisition records in the ATS
- Track recruitment metrics such as time-to-fill, offer acceptance rate, and candidate pipeline health
- Identify risks or delays in the hiring process and escalate as appropriate
HR Handoff (Post–Offer Acceptance)
- Execute a structured handoff to HR upon offer acceptance, including complete and accurate candidate documentation
- Communicate offer acceptance details, start expectations, and any special considerations to HR
- Ensure HR has all required information to begin onboarding and pre-employment processing
Qualifications
- High school diploma or equivalent required
- 1–3 years of experience in recruiting coordination, staffing, or customer service; personal services or healthcare experience preferred
- Experience supporting high-volume recruiting in a fast-paced environment
- Strong organizational skills with exceptional attention to detail
- Excellent written and verbal communication skills
- Proficiency with applicant tracking systems (ATS) and standard office software
