Mayersohn Law Group, P.A. is seeking an experienced Legal Billing & Collections Specialist to manage the firm’s full billing cycle and support the financial health of our growing practice. This is a remote position for a detail‑oriented professional with 2 years of FAMILY LAW legal billing, 2 years of LEGAL collections experience, and hands‑on experience billing directly inside Clio. Applicants without LEGAL billing experience will not be considered.
You will oversee timekeeping accuracy, invoice generation, payment processing, retainer and trust management, accounts receivable, and soft collections. This role requires precision, confidentiality, strong communication skills, and the ability to work independently in a fast‑paced remote environment.

You will oversee timekeeping accuracy, invoice generation, payment processing, retainer and trust management, accounts receivable, and soft collections. Responsibilities
Timekeeping & Pre‑Billing
- Review time entries daily for accuracy, completeness, and proper coding.
- Communicate with attorneys and staff to correct or clarify entries before billing deadlines.
- Generate, review, and revise pre‑bills in accordance with firm policies and attorney feedback.
- Prepare and finalize invoices using legal billing software (Clio required; Timeslips/LEAP a plus).
- Ensure invoices comply with client‑specific billing arrangements, including LEDES formats and e‑billing portal requirements.
- Deliver invoices promptly and track confirmation of receipt.
- Process payments via credit card, ACH, check, and payment portals.
- Monitor trust and retainer balances; initiate replenishment requests and auto‑replenishment workflows.
- Maintain compliance with trust accounting rules and firm procedures.
- Track outstanding balances and follow up with clients professionally and service‑oriented.
- Conduct soft collections and escalate delinquent accounts when appropriate.
- Support monthly financial reporting and assist with reconciliation tasks.
- Respond to billing inquiries with clarity, professionalism, and discretion.
- Collaborate with attorneys, paralegals, and leadership to resolve billing discrepancies.
- Maintain organized billing records and provide copies of all client‑provided and attorney‑drafted documents.
- Work with merchant service providers and credit card companies to resolve disputes or chargebacks.
- Prepare refund requests and process adjustments with Owner approval.
- 2 years of LEGAL FAMILY LAW billing experience (required).
- 2 years of LEGAL collections experience with FDCPA knowledge (required).
- Experience billing directly inside Clio (required).
- Experience working remotely in a professional services environment.
- Exceptional attention to detail, accuracy, and follow‑through.
- Strong grammar, proofreading, and business‑writing skills.
- Ability to manage multiple deadlines in a fast‑paced environment.
- Clear, professional communication with clients, attorneys, and staff.
- Understanding of basic accounting principles, trust accounting, and confidentiality standards.
- Highly organized, efficient, and able to work independently with minimal supervision.
- Proficient in legal billing software, digital timekeeping systems, Microsoft Office (especially Excel), and accounting tools.
- Prolonged periods of sitting and computer work.
- Ability to lift up to 15 pounds.
