We are seeking a professional and organized Office Assistant/Receptionist to join our team. Responsibilities
- Greet visitors and clients courteously at the front desk, managing multi-line phone systems with professionalism and courtesy
- Handle incoming calls, direct inquiries, and provide excellent customer support using phone etiquette
- Manage appointment scheduling, calendar management, and coordinate meetings using Microsoft Office and Google Workspace tools
- Perform data entry, filing, and maintain accurate records using office management software such as QuickBooks and other relevant platforms
- Assist with administrative tasks including proofreading documents, managing correspondence, and supporting office management activities
- Support bookkeeping and basic bookkeeping tasks as needed
- Maintain a tidy and organized reception area and office environment
- Provide clerical support such as typing, proofreading, and document preparation for various departments
- Manage office supplies inventory and place orders when necessary
- Assist with personal assistant duties or medical/dental receptionist tasks if applicable
Qualifications
- Proven experience in office administration, clerical work, or reception roles; prior medical or dental receptionist experience is a plus
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
- Familiarity with QuickBooks or similar accounting software is desirable
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
- Exceptional phone etiquette and customer service skills; bilingual abilities are preferred but not required
- Ability to handle sensitive information discreetly with high attention to detail
- Strong typing skills with accuracy and speed; proofreading skills are advantageous
- Experience with calendar management, filing systems, and office management practices
- Demonstrated time management skills with the ability to prioritize tasks effectively

Pay: $18.00 - $21.00 per hour
