Job Overview
We are seeking a highly organized and proactive Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing various administrative tasks and supporting the overall efficiency of our daily activities. This position requires a detail-oriented individual who can handle multiple responsibilities while maintaining a professional demeanor.

Duties

  • Serve as the first point of contact for patients at the front desk, providing excellent customer service.
  • Verify insurance coverage and process authorizations
  • Input and manage patient data accurately
  • Assist with patient setup and coordination with therapists
  • Manage phone systems, directing calls and taking messages as necessary.
  • Perform data entry tasks, ensuring accuracy and confidentiality of information.
  • Assist with scheduling appointments and coordinating meetings for team members.
  • Provide administrative support to executives and staff, including personal assistant duties when required.
  • Maintain organized office files and records, both digital and physical.
  • Proofread documents for accuracy and clarity before distribution.
  • Utilize Microsoft Office for document creation, spreadsheets, presentations, and communication.
  • Implement effective time management strategies to prioritize tasks and meet deadlines.

Requirements

  • Bilingual proficiency is preferred to enhance communication with diverse clients.
  • Experience with phone systems and front desk operations is highly desirable.
  • Strong data entry skills with attention to detail are essential.
  • Proven time management skills to effectively handle multiple tasks simultaneously.
  • Proficient in Microsoft applications for daily operations.
  • Previous experience in an administrative role is advantageous.
  • Excellent proofreading abilities to ensure high-quality documentation.
  • Strong organizational skills with the ability to maintain a tidy office environment.
  • Experience in a medical or therapy front office setting preferred
  • Knowledge of insurance processes a plus
  • Excellent communication, organization, and multitasking skills
  • Friendly, professional, and confident demeanor
