We are seeking a highly organized and proactive Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing various administrative tasks and supporting the overall efficiency of our daily activities. This position requires a detail-oriented individual who can handle multiple responsibilities while maintaining a professional demeanor.
Duties
- Serve as the first point of contact for patients at the front desk, providing excellent customer service.
- Verify insurance coverage and process authorizations
- Input and manage patient data accurately
- Assist with patient setup and coordination with therapists
- Manage phone systems, directing calls and taking messages as necessary.
- Perform data entry tasks, ensuring accuracy and confidentiality of information.
- Assist with scheduling appointments and coordinating meetings for team members.
- Provide administrative support to executives and staff, including personal assistant duties when required.
- Maintain organized office files and records, both digital and physical.
- Proofread documents for accuracy and clarity before distribution.
- Utilize Microsoft Office for document creation, spreadsheets, presentations, and communication.
- Implement effective time management strategies to prioritize tasks and meet deadlines.
Requirements
- Bilingual proficiency is preferred to enhance communication with diverse clients.
- Experience with phone systems and front desk operations is highly desirable.
- Strong data entry skills with attention to detail are essential.
- Proven time management skills to effectively handle multiple tasks simultaneously.
- Proficient in Microsoft applications for daily operations.
- Previous experience in an administrative role is advantageous.
- Excellent proofreading abilities to ensure high-quality documentation.
- Strong organizational skills with the ability to maintain a tidy office environment.
- Experience in a medical or therapy front office setting preferred
- Knowledge of insurance processes a plus
