Job Summary:
We’re on the hunt for a vibrant, highly organized, and tech-savvy Team Coordinator to be the heartbeat of our operations! In this role, you’ll be the go-to liaison connecting our field crews, project managers, insurance companies, property owners, and Third Party Administrators and other parties. Your dynamic energy, razor-sharp communication skills, and rock-solid organizational prowess will keep our projects humming, our clients thrilled, and our team firing on all cylinders. Key Responsibilities:
- Be the communication superstar linking field staff, project managers, insurance companies, property owners, and Third Party Administrators with seamless, high-energy coordination.
- Daily team activities, meetings, and project schedules using tools like Google Workspace, Microsoft Office, Xactimate, and project management software to keep our emergency services, pack-outs, content processing, and reconstruction projects on track.
- Tackle customer inquiries with speed and finesse, directing them to the right team members and solving issues like a champ.
- Keep our office buzzing by managing supplies, organizing filing systems, and nailing documentation with precise data entry, proofreading, and filing.
- Amplify communication across departments, ensuring info flows fast and freely through internal messaging systems.
- Keep the workspace vibrant, organized, and meeting-ready while providing clerical support that keeps us moving forward.
- Bring bilingual flair when needed to connect with our diverse clients and team members like a pro.
Qualifications:
- Experience in office management, administrative, or coordination roles (bonus points for restoration, construction, medical, or dental reception experience!).
- Tech-savvy: A wizard with Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), Xactimate, project management tools, and CRM software; you pick up new tech like it’s second nature.
- Highly organized: A multitasking maestro with killer organizational skills to juggle complex schedules, prioritize tasks, and keep records spot-on.
- Effective communicator: Stellar verbal and written skills with polished phone etiquette to wow diverse stakeholders with clarity and charm.
- Top-notch customer service skills and experience rocking multi-line phone systems or front desk duties.
- Bilingual abilities? That’s a huge plus to connect with our diverse clients!
- Familiarity with QuickBooks is a bonus but not required.
- Knowledge of insurance processes or Third Party Administrator interactions is a plus.
