Position Summary:
The Administrative Coordinator will provide all-around administrative and operational support to ensure the smooth daily functioning of our office and coordination with remote departments. This role blends general office administration, customer support, billing assistance, scheduling, and document management.
Key Responsibilities:
- Perform general office administrative tasks including filing, scanning, data entry, and correspondence.
- Assist with preparing, reviewing, and sending invoices; maintain accurate billing records.
- Coordinate with the shipping department and assist in tracking orders, shipments, and deliveries.
- Prepare and format reports, letters, and presentations using Microsoft Office applications.
- Maintain organized records of customer accounts, vendor files, and internal documentation.
- Assist in scheduling meetings, arranging travel, and managing office calendars.
- Handle incoming calls, emails, and inquiries, ensuring timely and professional responses.
- Support sales and operations teams with administrative tasks, follow-ups, and documentation.
- Research and resolve discrepancies in billing, shipping, or order information.
- Monitor office supply inventory and place orders as needed.
Qualifications:
- Proficient in Microsoft Word, Excel, and Outlook.
- Strong written and verbal communication skills.
- Highly organized, detail-oriented, and able to manage multiple tasks efficiently.
- Strong problem-solving skills and ability to work independently.
- Punctuality and reliability are essential.
- Experience with billing, shipping software, EDI, or SPS is a plus but not required.
Preferred Qualifications:
- At least 1 year of experience in an administrative, office support, or billing role.
- High school diploma or equivalent (preferred).
