Put your career into high gear with Mavis Discount Tire! We’re looking for a full-time Permit Coordinator to join Team Mavis in White Plains, New York. With over 3,500 retail locations, Mavis is one of the largest tire sales and automotive repair chains in the United States.
About the Position of Permit Coordinator
The Permit Coordinator is an office-based position which administratively reports to the Vice President of Store Set Up. This role primarily coordinates all activities required to obtain Certificates of Occupancy for existing locations in the chain.
As a member of the Real Estate Department, the Permit Coordinator will also assist the VP of Store Set Up and Sr. Project Managers with a variety of administrative and project specific tasks. This is a support position, and the successful candidate will be required to work on multiple project tasks with various Senior Project Managers.
Duties & Responsibilities
· Make routine calls to jurisdictions to check on permit status, schedule inspections, and gather project information.
· Coordinates all activities required to obtain Certificates of Occupancy for existing locations in the retail chain.
· Coordinate with architects, engineers, and third-party vendors to ensure the timely and cost-effective delivery of permits and approvals.
· Maintains Smartsheet project planning tool, collecting data from multiple departments for multiple permit projects.
· Scheduling & follow up of installation vendors.
· Demonstrates ability to identify project risks, and contingency plans, and implement action plans to reduce or eliminate project risks.
· Tracks progress of each project against goals, objectives, approved budgets & approved timelines.
· Process and track payment on contractor and consultant invoices.
· Assists with any back-office needs of the project team including database upkeep, filing and general administration.
· Adheres to the budget, timeline, and quality control plan.
· Obtains all necessary regulations and permits if needed.
Requirements & Qualifications
- Bachelor's degree, or equivalent combination of education and experience.
- 1-3 years of administrative or coordinator experience, preferably in, real estate, construction or related field.
- Able to multitask, prioritize, and manage time efficiently.
- Excellent verbal and written communication skills.
- Ability to read and understand construction drawings, an advantage.
- Accurate and precise attention to detail.
- Able to analyze problems and strategize for better solutions.
- Highly Proficient with Microsoft Office Suite, Smartsheet and other project management software.
- Able to build solid relationships with team members, vendors, and customers.
