Current Opportunity: Executive Assistant
Position Overview
We’re looking for an Executive Assistant who thrives in a fast-moving environment and loves bringing order to complexity. This role sits at the intersection of executive support, project coordination, and operational execution - helping the business move faster, stay aligned, and operate seamlessly.
You’ll manage high-impact schedules, support internal and external communications, coordinate key projects, keep teams accountable, and transform data into meaningful insights. Responsibilities
Executive & Calendar Support
- Own complex calendars, meetings, and travel - ensuring leaders stay organized, prepared, and ahead of schedule.
- Coordinate seamlessly across internal teams, external partners, and industry stakeholders.
- Anticipate conflicts and solve them before they become problems.
Communication & Administrative Support
- Draft polished emails, messages, briefs, and internal updates.
- Help prioritize inbound requests and ensure timely, clean follow-through.
- Build and prepare high-quality documents, summaries, and presentations.
Project & Operational Coordination
- Track initiatives across sales, operations, and leadership - keeping timelines, action items, and deliverables moving forward.
- Proactively prompt teammates, follow up on commitments, and safeguard deadlines.
- Streamline repetitive tasks and help build efficient, scalable workflows.
Reporting & Data Support
- Pull and organize reports on sales metrics, pipeline activity, client lists, and other operational insights.
- Transform data into clear summaries, dashboards, or visual presentations.
- Maintain data accuracy across Salesforce and other internal systems.
Vendor & Partner Coordination
- Support communication and scheduling with partners such as GPOs, DSOs, Unified Smiles, Synergy, and Smile Source.
- Keep partner documentation, contact records, and meeting notes up to date.
Travel & Logistics Support
- Coordinate end-to-end travel arrangements - flights, hotels, conferences, itineraries -ensuring every detail is in place.
- Prepare seamless travel packets and logistical briefs for leadership.
Job Requirements
- Bachelor’s degree preferred (business, operations, communications, or related field).
- 3–5 years of experience in business, administrative support, executive support, or project coordination.
- Strong proficiency with:
- Outlook or Google Calendar
- Excel or Google Sheets
- Word or Google Docs
- PowerPoint or Google Slides
- Salesforce (or similar CRM)
- Slack, Teams, or modern messaging tools
- Exceptional organizational skills with a bias for action and a high sense of urgency.
- Clear, confident, professional communication - written and verbal.
- Comfortable working with data, building reports, and supporting leaders with insights.
- Able to juggle multiple priorities while maintaining accuracy and composure.
- Naturally curious and eager to understand our business, clients, and industry.
Preferred Requirements
- Experience in healthcare, dental, medical device, or similar industries.
- Prior exposure to sales operations, partner management, or executive support.
- Familiarity with process improvement or workflow optimization.
