Maven Psychology Group Administrative Manager Immediate Opening
About Us:
We are clinicians who specialize in trauma-focused treatment and forensic psychology for the courts. We provide therapy, psychological evaluations, and forensic work. Maven Psychology Group is a multi-jurisdictional practice with locations in Washington, DC, and Tampa, Florida. We also offer telehealth services throughout the United States.
Position Description:
· Independent contractor, 15-20 hours per week
· Hours: Flexible
· Remote with twice-monthly office visits in DC, as needed
Administrative Manager completes the following:
· Bookkeeping on QuickBooks Online
o Coordinate with the practice CPA
· Calculate and input payroll
· Provide administrative support for forensic work
o Screen incoming forensic queries, provide basic information, including fees and the scope of work possible. Connect to psychologists
o Draft retainer agreements and send to clients for signature
o Add new forensic clients to the record systems
o Coordinate payment of retainers, including tracking payments
o Track usage of retainers and send monthly statements to clients
o Perform billing duties, including following up on unpaid invoices
o For government clients, coordinate how payment needs to occur, input necessary data into their system, and monitor status
o Maintain a spreadsheet case tracking system
o Track forensic account input and output
· Provide administrative support for clinical work
o Field initial calls and emails from potential clients, providing basic practice information (e.g., rates, location, services provided), conducting screening and then providing information to clinicians
o Help with electronic medical record maintenance, as needed
o Contact clients for updates to automated payment, provide copies of automated superbills and receipts, as needed
· Create and adapt systems to continue to support practices’ growth
· Monthly meeting with practice owners to review work and provide financial updates
· Assistance in office management, as needed
Qualifications
· College degree
· Prior experience in practice administration, bookkeeping and/or finance
· An ideal candidate will be detail-oriented and have experience in health care settings
Compensation
· Competitive hourly rate that is negotiable and based on experience
