We are seeking a highly motivated, detail-oriented, and organized Intake Specialist with a passion for providing exceptional client service to serve as the first point of contact for prospective clients. This new hire will work closely with our attorneys, Business Development Manager, and Client Specialist to guide potential clients through the intake process and help connect individuals facing workplace challenges with the legal support they need. Responsibilities:
- Serve as the first point of contact for prospective clients via phone and email
- Conduct client intake and a qualification processes to determine whether legal matters are a good fit for the firm
- Provide fee quotes, schedule consultations, and issue engagement letters
- Follow up with prospective clients and maintain consistent communication throughout the intake process
- Manage relationships with current clients and referral sources
- Schedule meetings, consultations, and conference calls for attorneys and staff
- Onboard new clients, including preparing fee agreements, invoices, etc.
- Maintain accurate client records and documentation within firm systems
- Assist with improving workflows, processes, and procedures related to client intake and onboarding
Requirements:
- 1 year of experience in a client-facing, customer service, sales, or client intake role
- An interest in employment law and helping individuals navigate workplace challenges
- A strong project management mindset with interest in improving systems/ processes
- Confident and outgoing with a professional communication style
- Excellent verbal and written communication skills
- Ability to exercise sound judgment and maintain confidentiality
- Proficiency with Microsoft Office Suite, including Word, Outlook, and basic Excel
Bonus Experience:
- Experience in sales or business development
- Experience working in a law firm environment and/or professional services
- Knowledge of Clio
- Knowledge of Microsoft SharePoint
