We are a privately held commercial real estate company that owns and manages over six million square feet of industrial real estate throughout the Puget Sound and a network of self-storage properties along the West Coast. We are in Kirkland, Washington, and have an opportunity for an Administrative Assistant & HR Administrator (one role).
Position
The Administrative Assistant & HR Administrator will be responsible for providing administrative support to the Executive Team and Human Resources, while maintaining confidentiality of sensitive corporate and personnel matters. The successful candidate will be a proactive, self-motivated individual with a can-do attitude who is comfortable with large volumes of detail. This position is in-person with no remote work option. This position reports to the CEO.
Summary of Duties and Responsibilities:
· Assist with Board of Director and Shareholder meetings, including scheduling, calendar management, and assembling meeting materials
· Directly interface with shareholders, executives, and external contacts
· Travel booking, expense tracking, scheduling and calendar management, subscription management, mail sorting, and ad-hoc tasks
· Manage company records retention, including logging and inventory maintenance, periodic assessment of relevance, and adherence to retention policy
· Oversee Receptionist
· Organize Company meetings and events
· Review and approve office-related expenses and invoices
· Administer employee benefits, including duties such as reporting, evaluating coverage options presented by brokers, and facilitating Open Enrollment
· Administer annual Employee Handbook updates
· Facilitate hiring and termination, including job posting, drafting offer letters, professional correspondence with candidates, in-office correspondence and coordination, and related reporting
· Maintain personnel records
· Stay up to date with rules, regulations, reporting requirements, etc.
Qualifications
· Excellent interpersonal and communication skills, including the ability to deal effectively with a wide variety of people, and a professional attitude and appearance
· Strong organizational and time management skills, including ability to plan far in advance
· Lead and model professional, productive, and team-oriented office behavior
· Ability to be discreet, tactful, and responsible when dealing with topics and documents of a sensitive nature
· Ability to work independently and proactively, manage projects, and make informed decisions based on knowledge of procedures and company policies
· Ability to think critically about processes, evaluate efficiency, and adapt accordingly, including the ability to be flexible (“go with the flow”) and a willingness to learn
· Proficiency in Microsoft Excel, Word, and PowerPoint
Compensation
· Annual Base Salary $70,000 - $75,000, depending on experience
· Annual Performance Bonus target of 20%
· Annual Pension Plan Contribution of 8.5% of total compensation (salary and bonus)
· Target Total Compensation Range: $91,140 - $97,650
· 401(k) Plan with matching component
· Three weeks Paid Time Off (increasing to four weeks after second year of employment and five weeks after fifth year of employment)
· Medical, Dental, and Vision Plan with 100% of employee premiums and 60% of dependent premiums Company paid.
· Employee-only Life and Disability Coverage with 100% of premiums Company paid
