General Statement of Job
The Director of Athletics and Youth Recreation provides leadership, coordination, and oversight for Hyde County Schools' athletic programming and Hyde County youth recreation athletics. This role is responsible for planning, scheduling, compliance, staffing support, event operations, communication, budget coordination, and safety management for student-athletics and youth-recreation programs. The Director ensures programs operate efficiently, reflect Hyde County Schools' expectations, meet NCHSAA and NFHS requirements for school athletics, and promote positive youth development and community engagement.
The Director serves as a central coordinator between Hyde County Schools, school-based administration, coaches, the Hyde County Recreation Board, community partners, and families.
Work requires extensive evening and weekend hours during athletic seasons and recreation program periods, and a willingness to obtain a bus license within 90 days of employment.
Essential Duties and Responsibilities
Program Leadership and Administration
- Develops and helps implement a strategic plan and annual goals for Hyde County Schools athletics and Hyde County youth recreation athletics programming.
- Coordinates and manages day-to-day operations for both athletics and youth recreation programming, including scheduling, staffing, event operations, recordkeeping, and communication.
- Maintains accurate records and documentation related to athletics and recreation participation, eligibility, rosters, background checks, staffing, finances, and program performance.
- Provides written monthly reports to school leadership and the Hyde County Recreation Board on program updates, participation, operational needs, and upcoming events.
- Promotes athletic and recreation programs aligned to Hyde County Schools' priorities, including academics, student wellness, community involvement, and positive youth development.
Budget, Purchasing, and Financial Oversight
- Develops the annual budget for Hyde County youth recreation programming and manages expenditures in accordance with county policies.
- Supports the School Principal and district leadership with athletics budget planning, purchasing needs, and seasonal program costs.
- Coordinates equipment purchasing, reconditioning, storage, and inventory for athletics and recreation, including proper distribution and collection.
- Coordinates payment processes for officials and other event personnel in accordance with established Hyde County Schools procedures.
- Supports planning for tournaments, special events, postseason competitions, travel, and staffing needs in coordination with school administration.
Scheduling, Facilities, and Transportation
- Creates and maintains schedules for youth recreation leagues, practices, games, and officials.
- Coordinates Hyde County Schools athletic schedules with the Principal, conference commissioner, and other schools.
- Secures facilities for practices and contests; inspects playing areas to ensure readiness and safety.
- Coordinates and prepares home contest sites and supervises cleanup after events.
- Coordinates athletic transportation and travel scheduling using Hyde County Schools' transportation procedures and timelines.
- Coordinates tournaments and postseason events in collaboration with school administration and conference requirements.
Staffing, Coaches, Volunteers, and Professional Expectations
- Recruits, hires, trains, supports, and schedules volunteer coaches and youth recreation program staff as needed.
- Assists the Principal with recruitment and onboarding of athletic coaches; supports coaching assignments as openings occur.
- Coordinates coach training, preseason expectations, and professional learning opportunities as appropriate.
- Oversees background check processes and supervision expectations for recreation coaches and volunteers.
- Supports coaches and program staff with conflict resolution, team management, and morale-building, while promoting a culture of accountability and sportsmanship.
Compliance, Eligibility, Safety, and Risk Management
- Ensures compliance with all Hyde County Schools policies, NCHSAA requirements, NFHS rules, conference expectations, and applicable state laws related to athletics.
- Ensures that youth recreation programming complies with all county policies, safety standards, and applicable legal requirements for youth sports and volunteer supervision.
- Coordinates student-athlete eligibility verification and maintains required documentation prior to participation.
- Schedules and coordinates physical examinations for student-athletes and ensures participation requirements are met.
- Conducts preseason meetings and submits required NCHSAA eligibility and certification documentation.
- Works collaboratively with the Principal and School Resource Officer to arrange security and emergency support for athletic contests when needed.
- Coordinates emergency procedures for contests and recreation events and ensures staff and volunteers understand safety protocols.
Event Operations and Game Management
- Coordinates support personnel for athletic events, including gatekeepers, ticket sales, security, emergency personnel, and event supervisors.
- Assigns and supervises event staff and manages operational logistics (tickets, stamps, change boxes, etc.).
- Coordinates payment and scheduling of game officials.
- Supports athletics promotions, special events, and athletic department activities such as booster club meetings, athletic banquets, and recognition events.
- Serves as director of special events and promotions for athletics and youth recreation initiatives.
Communication, Public Relations, and Community Engagement
- Designs and distributes athletic and recreational communication materials across print and digital platforms, ensuring the community is informed about opportunities, schedules, and events.
- Communicates professionally with parents and stakeholders regarding schedules, postponements, cancellations, records, and program expectations.
- Serves as a routine public relations liaison for athletics and youth recreation, supporting consistent messaging aligned to Hyde County Schools and county expectations.
- Coordinates postponement and rescheduling decisions in collaboration with the Principal and Recreation Board due to weather or other factors.
Other Duties
- Performs other duties as assigned by the Hyde County Schools Principal, Superintendent/designee, Hyde County Recreation Board, or county leadership consistent with the purpose of the position.
Funding and Cost-Sharing Dependency Statement
This is a 12-month ADM1 position funded through a shared-cost agreement between Hyde County Schools and Hyde County. Continued employment and/or continuation of the position is contingent upon the availability of county cost-sharing funds and the continuation of the interagency agreement between Hyde County Schools and Hyde County for youth recreation programming support. Hyde County Schools reserves the right to modify, reassign, or discontinue duties related to youth recreation programming if county funding or support is reduced or eliminated, consistent with applicable policies and procedures.
Working Conditions
- Evening, weekend, and holiday work is required during athletic and recreation seasons.
- Work is performed on school campuses, athletic facilities, and community recreational sites.
- Position will require travel within the district and to other school systems for contests and events.
Minimum Qualifications
- Demonstrated ability to plan, coordinate, and oversee athletic or recreation programs in a school district, county recreation, youth sports, or community-based setting.
- Strong organizational ability to manage multiple schedules, staffing needs, event operations, and compliance tasks simultaneously.
- Ability to work collaboratively with school administration, county leadership, volunteers, coaches, staff, families, and students.
- Must meet Hyde County Schools and county requirements for working with youth, including completion of background checks and required trainings.
- Ability to obtain and maintain a bus license within 90 days of employment.
