Administrative Assistant
$45,000-$60,000 annually, depending on experience
Full-Time | Jackson, TN Monday-Friday | 7:30 AM-4:30 PM
Matlock Mechanical is a nationally recognized mechanical contractor specializing in commercial and industrial HVAC and plumbing projects across the United States. Based in Jackson, TN, we are known for quality work, operational excellence, and long-standing client relationships. We're seeking a proactive, detail-oriented Administrative Assistant with strong ServiceTitan experience to support our accounting and administrative team while helping improve workflows and maximize the platform's capabilities across our growing company.
What You'll Do
- Support day-to-day accounting and administrative operations
- Help optimize and expand the use of ServiceTitan across the organization
- Maintain accurate records and documentation
- Assist with reports, spreadsheets, correspondence, and other administrative tasks
- Help identify opportunities to improve processes and workflow efficiency
- Communicate professionally with team members, customers, and vendors
- Manage multiple priorities while maintaining accuracy and confidentiality
What We're Looking For
- High school diploma or equivalent
- 2 years of office administration or accounting experience
- Hands-on ServiceTitan experience is a must
- Experience with job costing, accounting functions, dispatch, and/or reporting
- HVAC, plumbing, electrical, construction, or related trade experience is a plus
- Proficiency in Microsoft Office, including Excel, Word, and Outlook
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Professional, positive, and dependable demeanor
- Ability to handle confidential information appropriately
