Position Summary:
The Accounting Specialist – Accounts Payable is responsible for managing and processing all company payables in a timely and accurate manner. This role ensures that vendor invoices, employee reimbursements, and expense reports are properly coded, approved, and paid while maintaining compliance with internal policies and accounting standards.
Key Responsibilities:
Accounts Payable Processing:
- Receive, review, and verify invoices and expense reports for accuracy and proper authorization.
- Match invoices with purchase orders and receipts.
- Code invoices to the appropriate general ledger accounts and cost centers.
- Enter and process vendor invoices in the accounting system.
- Prepare and process weekly or bi-weekly check runs, ACH payments, and wire transfers.
- Maintain vendor files and ensure all W-9 forms and payment information are up to date.
Reconciliation & Reporting:
- Reconcile vendor statements and resolve discrepancies promptly.
- Assist with month-end closing by preparing AP accruals and reconciliations.
- Support financial audits by providing necessary documentation and explanations.
- Generate and analyze AP reports as needed.
Compliance & Communication:
- Ensure adherence to company policies and GAAP.
- Respond to vendor inquiries in a professional and timely manner.
- Collaborate with purchasing, operations, and other departments to resolve invoice or payment issues.
- Assist with the preparation of annual 1099 forms.
Qualifications:
- Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred.
- 2–4 years of accounts payable or general accounting experience.
- Strong knowledge of AP processes, internal controls, and accounting best practices.
- Proficiency in accounting software (e.g., QuickBooks, SAP, Oracle, NetSuite, or similar) and Microsoft Excel.
- Excellent attention to detail, accuracy, and organizational skills.
- Strong communication and problem-solving abilities.
- Ability to manage multiple tasks and meet deadlines.
Working Conditions:
- Office-based position with standard business hours.
- May require occasional overtime during month-end or year-end closing periods.
