About the Role
The Chief Operating Officer (COO) is a senior executive responsible for overseeing and optimizing the daily operations of an ABA organization. This leader drives operational excellence, ensures clinical quality, and supports scalable growth across clinics, home-based programs, schools, and telehealth services.
The ideal candidate is a strategic, people-focused operator with deep experience in healthcare, behavioral health, or ABA, with the ability to manage a rapidly growing team while maintaining compliance, quality care, and financial performance.
Key Responsibilities
Operational Leadership
Oversee daily operations across all service lines (home, clinic, school, telehealth).
Build, refine, and implement efficient operating systems, policies, workflows, and KPIs.
Ensure scheduling, staffing, and service delivery run smoothly and efficiently.
Drive expansion initiatives such as opening new clinics, adding programs, or launching new markets.
Clinical Quality & Compliance
Maintain oversight of clinical processes in partnership with the Clinical Director/BCBA leadership.
Ensure all operations align with ethical ABA standards and state regulations.
Develop quality assurance systems, audits, and outcome metrics.
Support payer compliance, documentation standards, and authorization management.
Staff Leadership & Culture
Lead and mentor managers, directors, and department heads.
Oversee recruiting, onboarding, training, and performance management for clinical and administrative teams.
Build a high-performing, mission-driven culture that attracts and retains top talent.
Financial & Business Operations
Partner with the CEO and finance team on budgeting, forecasting, and revenue cycle performance.
Optimize billable hours, caseload management, and productivity across teams.
Monitor financial KPIs and implement strategies to reduce cancellations, streamline utilization, and maximize revenue.
Family Experience & Growth
Improve the client journey from intake to graduation.
Reduce waitlists, increase satisfaction, and support family-centered service models.
Help scale programs while maintaining individualized, high-quality care.
Qualifications
Required
Bachelor’s degree in Business, Healthcare Administration, Psychology, Education, or related field.
5 years of leadership experience in ABA, behavioral health, healthcare operations, or a similar field.
Proven experience managing large teams, multi-site operations, or clinical programs.
Strong understanding of ABA service delivery models, scheduling logistics, and payer requirements.
Excellent strategic planning, communication, and problem-solving abilities.
Preferred
Master’s degree (MBA, MHA, MA Behavioral Health, or related).
Experience scaling an ABA organization (clinic-based, home-based, or hybrid).
Familiarity with systems like: CentralReach, Catalyst, AccuPoint, Kyo, or similar EMRs.
Experience integrating data, KPIs, and dashboards.
Knowledge of insurance contracts, authorizations, and revenue cycle.
