Job Summary
Matchline Mechanical is seeking a highly organized and detail-oriented Project Manager Assistant to support our project management team in the planning, coordination, and execution of HVAC and mechanical construction projects. This position plays a critical role in ensuring projects remain organized, on schedule, and well-documented from startup through completion.
The ideal candidate thrives in a fast-paced construction environment, communicates professionally with customers and vendors, and enjoys keeping multiple projects moving efficiently.
Responsibilities
- Assist Project Managers with day-to-day project administration.
- Create and maintain project files, contracts, submittals, RFIs, change orders, and closeout documentation.
- Track project schedules, material deliveries, and job progress.
- Coordinate communication between field staff, vendors, subcontractors, and customers.
- Prepare meeting notes and follow up on action items.
- Monitor project documentation to ensure compliance with company standards.
- Assist with project startup requirements.
- Update project management software, spreadsheets, and reporting tools.
- Help gather information needed for project billing and job costing.
- Support project closeouts by collecting warranties, manuals, and final documentation.
Qualifications Required
- High school diploma or equivalent.
- 2 years of administrative, project coordination, or construction office experience.
- Strong organizational and time-management skills.
- Proficiency with Microsoft Office, including Excel, Word, and Outlook.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and deadlines.
Preferred
- Experience in HVAC, mechanical contracting, construction, or related industries.
- Knowledge of project management processes and construction documentation.
- Familiarity with construction software
