We are seeking a dynamic and organized Bookkeeping Receptionist to join our team! Responsibilities

  • Greet clients, visitors, and staff warmly while managing multi-line phone systems with professionalism and courtesy
  • Handle front desk duties including check-ins, appointment scheduling, and maintaining a tidy reception area
  • Manage calendar appointments and coordinate meetings using Google Workspace or Microsoft Office tools
  • Perform data entry, filing, and proofreading to ensure accuracy of financial records and administrative documents
  • Utilize QuickBooks for bookkeeping tasks such as invoicing, expense tracking, and financial record maintenance
  • Provide exceptional customer service by addressing inquiries promptly via phone or email and supporting client needs
  • Assist with office management tasks including supply inventory, document organization, and general clerical support

Requirements

  • Proven experience in office management or administrative roles with clerical experience preferred
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
  • Familiarity with QuickBooks or similar accounting software for bookkeeping purposes
  • Excellent organizational skills with the ability to multitask efficiently in a busy environment
  • Exceptional phone etiquette and experience handling multi-line phone systems
  • Bilingual abilities are highly desirable to support diverse client interactions
  • Previous experience as a dental or medical receptionist or personal assistant is a plus
  • Strong typing skills along with attention to detail for proofreading and data entry tasks
  • Knowledge of office procedures such as filing, calendar management, and document proofreading
  • Ability to manage time effectively while prioritizing urgent tasks to ensure smooth daily operations
