Position Summary
The Manager, Events and Membership is responsible for delivering outstanding service to members. As part of a small team, this position will also have responsibilities across member services, operations, events, and communications. The position plays a key role in creating and maintaining efficient operations, delivering a “member-first” culture, and fostering positive teamwork in a small-staff environment.
Key Responsibilities
Membership
- Serve as a primary contact for members, responding to inquiries and resolving issues in a timely, professional manner.
- Process annual hunt paid membership lists and track payments
- Prepare/distribute/track annual hunt questionnaires
- Track/update Master, ex-MFH membership changes
- Track/update hunt changes
- Prepare new Master candidate information for Board meetings
- Ensure consistent, high-quality member experiences across all touchpoints
- Follow up with members who have unpaid dues
Operational Support
- Manage daily operational and administrative functions of the association, including answering any incoming phone calls, greeting visitors, processing store orders, and handling all incoming and outgoing mail
- Maintain and improve internal systems, workflows, and documentation
- Process Fairly Hunted awards
- Ensure compliance with association policies, procedures, and applicable regulations
- Serve as staff liaison to several committees, providing administrative and operational support and guidance
Meetings & Seminars
- In conjunction with the Executive Director, coordinate with vendors on meeting and event space, hotel, food & beverage, A/V, entertainment, and other vendors as needed
- In conjunction with the team, develop communication materials to promote educational opportunities and events
- Coordinate preparations for January, May, and October board meetings, including securing room blocks and restaurant reservations (as needed)
- Assist in agenda preparations and participate in board meetings as requested
Communications and Publications
- In conjunction with the team, review and edit all Covertside articles and proofread magazine drafts
- Coordinate with graphic designer on projects as needed
- Collect and update the member database to publish the yearly Master’s Directory and Huntsman’s Directory
- Pull data for the yearly Hunt Roster
Sponsorships
- Work with consultant to ensure fulfillment of 100% of all sponsorship and advertiser benefits and agreement terms.
Team & Cross-Functional Collaboration
- Work closely with the Executive Director and staff to align operations with organizational goals
- Serve as a problem-solver and resource across departments in a small-team setting
- Other responsibilities as assigned
Skills and Qualifications
- Some college or a college degree
- Professional communication style
- Exemplary attention to detail
- Demonstrated comfort and proficiency navigating complex data management systems/Association Management Systems (AMS)/Customer Relationship Management Systems (CRMs), with the ability to leverage their full range of features and functionality to maximize efficiency, data utilization, and organizational impact
- Experience with MS Office suite of programs
- Strong relationship management skills
- Adaptable, innovative, and collaborative
- Previous experience in a membership association preferred
