Masters Academy International
Masters Academy International (MAI) is New England’s only school that intentionally integrates elite athletics with rigorous academics to prepare students for excellence in college, career, and life. At MAI, we believe that operational excellence is inseparable from student success. Systems, communication, and relationships matter deeply, and when done well, they create the conditions for students and educators to thrive.
Our Upper Division (Grades 6–12) serves a dynamic community of student-athletes, families, faculty, and college partners. The complexity of this environment requires not only strong administrative support, but also a professional who understands the rhythms of adolescent development, the demands of college preparation, and the importance of trust, discretion, and precision.
About the Role
The Senior Program Administrator for the Upper Division & College Counseling is a dynamic, mission-critical role at the heart of divisional operations, family engagement, and the college counseling program. Ideal for a highly organized, relationship-driven professional with intellectual curiosity, this position thrives in a fast-paced school environment and plays a meaningful role in supporting students during some of the most formative years of their lives. Blending strategic thinking with day-to-day operational excellence, the role ensures the smooth functioning of the Upper Division while delivering specialized administrative and technical support to a comprehensive college counseling program serving senior and post-graduate families. As a trusted partner to division leadership and counselors, the Senior Program Administrator serves as a calm, capable first point of contact for families and a careful steward of systems requiring accuracy, confidentiality, and foresight.
What You Will Do
The Senior Program Administrator provides essential administrative, operational, and community support to the Upper Division while playing a key role in the college counseling and post-secondary process. Serving as the primary point of contact for students, families, faculty, and visitors, this role reflects the school’s values through warm, professional communication and thoughtful discretion. Responsibilities include managing daily attendance and absences, coordinating teacher coverage, overseeing dismissals and transportation updates, and organizing field trips, special programs, and divisional calendars to ensure smooth daily operations. In partnership with the college counseling team, the role also serves as the technical manager for Naviance, supporting students and families throughout the college application process by managing transcripts and recommendations, assisting with Common App, College Board, and NCAA processes, coordinating college visits, and maintaining accurate data and communication systems. With a strong emphasis on confidentiality, organization, and collaboration, this position supports large student cohorts and multiple staff members while helping families navigate one of the most important transitions in a student’s academic journey.
Who You Are
We are seeking a dedicated, experienced professional who is energized by MAI’s mission and the opportunity to make a meaningful impact on students’ educational journeys behind the scenes. The ideal candidate brings a minimum of five years of experience in college counseling administration and demonstrates the highest standards of integrity, professionalism, and discretion. Exceptionally organized and detail-oriented, they can manage multiple priorities and deadlines with a calm, steady presence, building strong, trusting relationships with students, families, faculty, and external partners. With strong emotional intelligence, intellectual curiosity, and a comfort with technology, this individual thrives in a collaborative environment, adapts to evolving systems, and contributes to operational excellence across the Upper Division and college counseling programs.
