Responsibilities
- Serve as the front desk point of contact, greeting visitors and managing multi-line phone systems with professionalism and courtesy
- Handle all clerical duties including data entry, filing, proofreading, and maintaining accurate records using Microsoft Office and Google Workspace tools
- Manage calendar scheduling, appointment setting, and coordinate meetings for staff members or executives
- Support office management tasks such as supply inventory, equipment maintenance, and organization of office spaces
- Assist with bookkeeping activities using QuickBooks or similar software to ensure accurate financial records
- Provide exceptional customer support by addressing inquiries promptly via phone or email, demonstrating excellent phone etiquette and customer service skills
- Perform general administrative duties including typing correspondence, supporting personal assistant tasks, and ensuring efficient time management across daily operations
Experience
- Proven office experience with a strong background in administrative support roles
- Familiarity with office management software such as Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace (Docs, Sheets, Calendar)
- Experience working with multi-line phone systems and handling front desk responsibilities in a professional environment
- Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members
- Demonstrated clerical skills including data entry, filing, proofreading, and calendar management
- Prior experience in customer service or customer support roles that require excellent communication skills and phone etiquette.
- Strong organizational skills with the ability to prioritize tasks efficiently while maintaining attention to detail.
