The Operations Support & Inventory Coordinator plays a critical role in supporting daily warehouse and distribution operations by ensuring inventory accuracy, processing customer credits and driver returns, maintaining food safety documentation, and providing administrative support to warehouse and transportation teams.
This position serves as a key communication link between Operations, Transportation, Inventory Control, Sales, and Leadership, helping maintain operational efficiency, inventory integrity, compliance standards, and exceptional customer service. As Charlotte operation continues to grow, this role is essential in driving accountability, operational continuity, and cross-functional collaboration.
Key Responsibilities
Driver Returns & Customer Credit Processing
- Receive, review, and process daily driver return paperwork.
- Verify signed invoices, customer rejections, and return documentation.
- Process customer credits accurately and in a timely manner.
- Investigate discrepancies and communicate findings to operations leadership.
- Assist in determining disposition of returned products, including rework opportunities.
- Ensure all supporting documentation is properly scanned, filed, and maintained.
Inventory Coordination & Accuracy
- Review and validate daily short reports.
- Research inventory discrepancies and communicate corrective actions.
- Conduct physical inventory verification when necessary.
- Support cycle counts, inventory audits, and inventory reconciliation efforts.
- Maintain inventory accuracy through proactive monitoring and communication.
- Coordinate product put-away activities to ensure proper inventory placement and rotation.
- Operational Administration & Food Safety Support
- Process incoming sales orders throughout the day.
- Print and distribute invoices, pick tickets, and operational documents.
- Maintain organization and visibility of operational paperwork.
- Ensure food safety records and compliance documentation are complete, accurate, and audit ready.
- Support operational compliance programs and record retention requirements.
- Assist with quality assurance documentation and reporting.
Warehouse Operations Support
- Support inbound product preparation and receiving activities.
- Monitor daily operational conditions within assigned warehouse areas.
- Coordinate with supervisors to address operational needs and workflow adjustments.
- Ensure product quality, presentation, rotation, labeling, and replenishment standards are maintained.
- Track and document product disposals, damages, and inventory adjustments.
- Provide recommendations to improve operational efficiency and inventory control.
- Maintain a strong sense of urgency while supporting daily operational priorities.
- Participate in cross-training initiatives to ensure operational coverage and business continuity.
- Provide weekend operational support as needed.
- High School Diploma or GED preferred.
- 1–2 years of warehouse, inventory, or operations support experience required.
- Experience working in a distribution, warehouse, or food service environment preferred.
- Warehouse Management System (WMS) experience required.
- Experience in operating powered warehouse equipment preferred.
Knowledge, Skills & Abilities
- Strong inventory control and warehouse operations knowledge.
- Understanding of produce commodities and food distribution environments preferred.
- Knowledge of warehouse procedures, product rotation, and quality standards.
- Strong organizational and administrative skills.
- Proficiency with basic computer applications and data entry.
- Excellent verbal and written communication skills.
- Ability to prioritize multiple tasks in a fast-paced environment.
