Position Summary
Massachusetts Biomedical Initiatives (MBI) is seeking a highly organized and detail-oriented Administrative Operations Assistant to provide full-time coverage during a 12-week maternity leave. This role is essential to the daily operations of our life science incubator and serves as a primary point of contact for tenants, visitors, vendors, and staff.
The ideal candidate is proactive, customer-service focused, and comfortable managing multiple priorities in a fast-paced office environment.
Responsibilities
- Order and maintain office, kitchen, and facility supplies while tracking inventory
- Reconcile company credit card expenses using Microsoft Excel
- Assist with executive calendar management and meeting scheduling
- Coordinate meetings, tenant events, and community programs
- Receive and scan deliveries
- Sort and distribute incoming and outgoing mail
- Welcome visitors and assist tenants with day-to-day requests
- Support the MBI team with administrative and operational tasks
- Coordinate onboarding for new tenants, including paperwork and facility access
- Maintain organized administrative records and databases
- Perform additional administrative duties and special projects as assigned
Qualifications
- 1–3 years of administrative, office management, or operations experience preferred
- Experience using Microsoft Excel formulas
- Excellent organizational skills with strong attention to detail
- Ability to multitask and prioritize in a fast-paced environment
- Professional written and verbal communication skills
- Strong customer service and interpersonal skills
- Ability to work both independently and collaboratively
