Job Summary

The Center for Health Outcomes and Interdisciplinary research (CHOIR) a research center within the Department of Psychiatry at Massachusetts General Hospital, seeks an administrative manager for research to join our dynamic and growing team. The mission of CHOIR is to develop novel and scalable mind-body, behavioral and lifestyle interventions for people on the continuum from health to illness and their caregivers, across the lifespan and in both hospital and community settings.

Our research team develops, tests, and implements interventions for patients, caregivers and patient-caregiver dyads, across many conditions with a major focus on chronic pain, critical care, dementia and older adults. Our interventions are embedded within medical practices and community settings or are delivered remotely via zoom or mobile applications. We train psychology fellows, practicum students, and research volunteers. We support the growth of early career investigators and serve as a convener for mind-body and lifestyle interventions at the intersection of psychology and medicine. To date, CHOIR houses 16 investigators with their own portfolio of federal and foundation research grants.

Qualifications

Position Summary

The Grant Manager is responsible for overseeing the full lifecycle of research and programmatic grants—from identifying funding opportunities through proposal development, submission, award management, compliance monitoring, and closeout. This role ensures that all sponsored projects adhere to institutional policies, sponsor requirements, and federal regulations. The Grant Manager serves as a key resource to faculty, researchers, and administrative staff, providing guidance on proposal strategy, budgeting, and financial stewardship.

Key Responsibilities

Pre-Award (Proposal Development)

  • Identify appropriate grant opportunities and communicate them to faculty and research teams.
  • Coordinate and prepare proposal components including narratives, budgets, budget justifications, biosketches, and other required documents. Using SciENcv.
  • Develop and review budgets for accuracy, allowability, and alignment with sponsor guidelines.
  • Ensure proposals meet institutional, federal, and sponsor requirements prior to submission.
  • Liaise with central research administration offices for proposal approval and submission.

Post-Award (Award Management)

  • Review notices of award and ensure accurate interpretation of terms and conditions.
  • Establish project accounts and coordinate project kickoff activities.
  • Monitor expenditures to ensure compliance with sponsor and institutional policies.
  • Prepare and review financial reports, projections, and effort certifications.
  • Track deliverables, reporting deadlines, and progress requirements.
  • Manage budget modifications, no-cost extensions, carryforward requests, and other award actions.
  • Facilitate communication between investigators, department leadership, finance, and central offices.

Compliance & Oversight

  • Ensure adherence to federal regulations (e.g., Uniform Guidance), sponsor rules, and institutional policies.
  • Maintain documentation and records for audit readiness.
  • Provide training and guidance to faculty and staff on research administration practices.

Closeout

  • Oversee timely grant closeout, including reconciliation of accounts, submission of final reports, and proper disposition of equipment and records.
  • Coordinate with central offices to resolve outstanding issues.

Qualifications

  • Bachelor’s degree required; advanced degree preferred.
  • 3–5 years of experience in research administration, grant management, or related field.
  • Strong knowledge of federal regulations (NIH, NSF, DoD, DOE, etc.) and Uniform Guidance.
  • Proficiency with grant management systems (e.g., eRA Commons, Research.gov, ASSIST).
  • Excellent analytical skills; ability to create accurate and compliant budgets.
  • Strong communication, organizational, and problem-solving skills.
  • Ability to manage multiple deadlines in a fast‑paced, collaborative environment.

Preferred Skills

  • CRA (Certified Research Administrator) or similar certification.
  • Experience with academic medical centers or large research organizations.
  • Familiarity with financial systems and reporting tools (SAP, PeopleSoft, Workday, etc.).
