Job Summary
The Pre-Boarding team manages the activities required before a new hire or internal employee can begin work in a new role. Responsibilities include background checks, employment and education verification, I-9 compliance, licensure review, ensuring occupational health clearances, employment authorization review, and other role-specific requirements. The team partners closely with hiring departments, Human Resources, Occupational Health Services, and other stakeholders to ensure a timely, compliant, and seamless onboarding experience.
Qualifications
Education
- High School Diploma or Equivalent required
- Associate's Degree Human Resources Management preferred
Experience
- Experience in talent acquisition, recruitment coordination, or HR operations. 2-3 years preferred
Knowledge, Skills and Abilities
- Ability to work independently, prioritize competing responsibilities, and manage a high-volume workload in a fast-paced environment.
- Strong organizational and time-management skills, with the ability to consistently meet deadlines and adapt to changing priorities.
- Proven ability to communicate proactively, clearly, and professionally with candidates, hiring departments, Human Resources, and other stakeholders.
- Exceptional attention to detail and commitment to maintaining compliance with organizational policies and regulatory requirements.
- Ability to exercise sound judgment, take initiative, and escalate issues appropriately when needed.
- Demonstrated ability to learn and navigate multiple systems and technologies while understanding how business processes interact across platforms.
- Strong analytical and problem-solving skills with the ability to identify process gaps, troubleshoot issues, and ensure all required pre-employment activities are completed accurately and timely.
- Knowledge of U.S. employment authorization requirements and documentation, including familiarity with I-9 compliance and employment eligibility verification processes, preferred.
Hybrid Schedule:
- 8am-4:30pm // Monday - Friday
- Onsite days at Newton-Wellesley Hospital are based on business needs (1-2x/month)
- A quiet, secure, compliant workspace is required for remote workdays, and will be viewed and confirmed via Microsoft Teams Video on day 1 for all remote hires
- HR will ensure that candidates have a HIPAA-compliant workspace (a dedicated, private workspace with a lockable file cabinet that is free from distraction and separate from others)
