Overview
We are seeking a professional and organized Receptionist/Administrative Assistant to join our team. This role is vital in ensuring smooth office operations, providing exceptional customer service, and supporting administrative functions. Bilingual skills are a plus, as well as experience in medical or dental reception.
Duties
- Greet visitors and clients at the front desk with professionalism and courtesy
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments and maintain calendar management for staff and clients
- Perform data entry, filing, and maintain organized records using Microsoft Office, Google Workspace, and other office software
- Handle correspondence via email and postal mail, including proofreading documents for accuracy
- Assist with bookkeeping tasks using QuickBooks or similar accounting software
- Support office management tasks such as supply ordering and maintaining office equipment
- Provide customer support by addressing inquiries promptly and efficiently
- Manage patient or client information with confidentiality and adhere to privacy policies
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Strong organizational skills with the ability to multitask effectively
- Excellent phone etiquette and customer service skills
- Experience with multi-line phone systems and front desk operations
- Bilingual abilities are preferred to serve diverse clientele effectively
