Office Administrator (Part-Time)
Status: Part-time, on-site
Hours: Approximately 20 hours per week, with some weeks running more and some less depending on workload
Pay: $20.00 per hour
Position Summary
The Office Administrator keeps the day-to-day office running: purchasing, receiving, shipping, filing, and facilities paperwork. This is a recurring-duties role focused on keeping established systems accurate.Strong Microsoft Office skills are essential, particularly in Excel and Outlook.
Microsoft Office Requirements
Comfort with the Microsoft Suite is an important technical qualification for this role:
- Excel — maintaining and updating tracking spreadsheets, sorting and filtering, basic formulas, and keeping multi-column records clean and consistent over time.
- Outlook — managing email, maintaining the shared calendar, and scheduling inspections and deliveries.
- Word — transmittals, posted documents, forms, letters, and labels.
- Teams / SharePoint / OneDrive — file storage and sharing; keeping an electronic folder structure organized and finding things quickly.
Candidates should be able to work independently in these programs without step-by-step guidance.
Key Responsibilities
Purchasing & Vendor Management — Place and track purchase orders, maintain vendor and item records, prepare quotes, and process invoicing and payments.
Receiving, Shipping & Inventory — Receive and verify incoming shipments, coordinate outbound shipping and delivery paperwork, and keep the stockroom and inventory records in order.
Office & Records Administration — Maintain electronic and physical filing systems, manage account access and company credit card documentation, and handle general correspondence.
Facilities & Safety — Keep facilities documentation and posted documents current, schedule required inspections, and maintain injury records and contact lists.
Limited HR Support — A small clerical share of the role: collecting time cards for payroll, logging PTO, assembling onboarding and departure paperwork, and filing personnel records. This role does not include recruiting, benefits administration, employee relations, performance management, or HR compliance.
Qualifications
- Demonstrated proficiency with Microsoft Excel, Outlook, and Word
- 2 years in an office administration, purchasing, or operations support role
- Experience with shipping platforms (FedEx, Stamps.com) and shipping documentation
- Exceptional organization and attention to detail; able to maintain accurate records across multiple systems
- Ability to prioritize competing daily demands and follow items through to completion with minimal supervision
- Clear written and verbal communication with vendors, customers, and internal staff
- Reliable and self-directed — able to make steady progress on a part-time schedule
Preferred
- Experience in a manufacturing or light industrial environment
- Familiarity with purchase orders, sales orders, BOLs, and inventory control
- Basic understanding of facilities compliance and safety documentation
