The administrative assistant at Masek Distributing, Inc. is an important role that works to support the needs of other critical office staff. We work in a Dealer Management Software System called ASPEN DMS that handles our inventory, sales invoicing, receivables, payables, and accounting. This position would be the primary Accounts Receivable person and also trained to assist with Inventory Control and Invoicing. This person would also be the primary phone receptionist.

This can be a full-time position with benefits, or a part-time position around 25-30 hours per week with flexible scheduling, depending on what you'd prefer.

This position would be a great, steady, engaging office job with long-term potential or a springboard into other positions in the company, there is a lot of room for growth for motivated candidates.

Specific daily tasks include:

Administration

- Customer Service roles including primary phone reception

- Creating past-due Accounts Receivable lists, calling to collect payments

- Mailing, and emailing customer statements

- Calling customers to collect email addresses and update contact information

- Warranty Registration of New Yamaha Golf Cars as sold

- Filing customer records in filing system

- Misc. projects (birthday cakes, company t-shirts, dusting/upkeep, etc).

Sales

- Assisting with Invoicing as needed

Inventory Control

- Creating and managing "lists" of inventory in the DMS system

- Updating inventory records with updated information

- Data entry to assist with accessories installed / removed on inventory

- Managing Bills of Lading for truck drivers, deliveries, rentals, etc.

- Other office tasks as necessary

Responsibilities:
- Perform a variety of clerical and administrative tasks to support the office
- Answer and direct phone calls, take messages, and assist with inquiries
- Assist with project coordination and follow-up on action items
- Type, proofread, and edit documents as needed
- Maintain office supplies and equipment inventory
- Provide general administrative support to staff as requested

Qualifications:
- Proven experience as an administrative assistant or in a similar role
- Proficient in using phone systems and office equipment
- Strong organizational skills with the ability to prioritize tasks and meet deadlines
- Excellent communication skills, both written and verbal
- Attention to detail and accuracy in data entry and document preparation
- Ability to handle confidential information with discretion
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Ability to adapt to changing priorities and work effectively in a fast-paced environment
