Job Overview
We are seeking an energetic and detail-oriented Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors and clients. Your organizational skills and office management expertise will ensure smooth daily operations, creating a positive first impression for everyone who walks through our doors. This paid position offers an exciting opportunity to develop your administrative and clerical skills within a dynamic environment. 4 day work week. Monday - Thursday 7AM -4PM
2 positions available - 1 Full Time/ 1 Part Time (Flex)

Responsibilities
- Greet visitors warmly and direct them appropriately, ensuring a professional and friendly first impression
- Manage multi-line phone systems, screen calls, take messages, and transfer calls efficiently using proper phone etiquette
- Maintain a clean and organized front desk area, including filing, data entry, and document proofreading
- Schedule appointments, manage calendars, and coordinate meetings using tools like Google Workspace and Microsoft Office
- Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and timeliness
- Support office management tasks such as inventory tracking, supply ordering, and basic bookkeeping using QuickBooks or similar software
- Assist with clerical duties including data entry, filing systems, proofreading documents, and maintaining office records
Qualifications
- Proven experience in office administration or reception roles with strong clerical skills
- Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment
- Exceptional customer service skills with professional phone etiquette and interpersonal communication abilities
- Bilingual abilities are a plus to serve diverse client needs effectively
- Experience with multi-line phone systems, data entry, filing, proofreading, and calendar management preferred
- Knowledge of office management software such as QuickBooks or bookkeeping experience is advantageous
- Prior experience in automotive, insurance or as a receptionist or personal assistant is beneficial but not required
