POSITION SUMMARY:
Provide clerical, office management and student/staff support services to the school.
ESSENTIAL FUNCTIONS:
- Greet and assist visitors, answer the telephone and deliver messages.
- Type reports and correspondence.
- Prepare documents for distribution; for example, memos and newsletters.
- Process requisition forms and invoices. Cross check with purchase orders.
- Manage kindergarten registration process.
- Collect student fees and monitor free lunch and fee waivers.
- Assure the proper handling of cash, including daily bank deposits.
- Prepare periodic financial reports for the Treasurer's office; for example, student fees, lost library books, damaged text books.
- Verify the accuracy of reports and leave forms before they are sent to the central office.
- Arrange substitutes for classified staff. Locate substitute teachers in emergencies. Process the appropriate paperwork associated with these tasks.
- Keep the building equipment functioning properly.
- Monitor the schedules of such events as health screenings, parent conferences, programs and school pictures; and complete the necessary follow up tasks.
- Assist ill or injured students and staff as needed.
- Assist teachers with classroom or clerical duties as assigned by the Principal.
- Assist with the management and monitoring of student records and attendance.
- Monitor student custody, as it relates to releasing students from school.
- Maintain a neat, attractive office environment.
- Maintain the confidentiality of information that is not public domain.
OTHER DUTIES AND RESPONSIBILITIES:
- Assist with special projects, such as handbooks, invitations, fundraisers and awards programs.
- Assist the building aide(s) as needed; for example, dispense medications.
- Participate in professional development activities as assigned.
- Maintain an appropriate personal appearance.
- Observe all safety and health regulations of the school district.
- Serve as a role model in the practice of ethical principles, responsible behavior and democratic values.
- Perform other duties as assigned by the Principal.
QUALIFICATIONS:
- High School diploma.
- Post high school education preferred.
- 3- 5 years of prior administrative/secretarial experience preferred.
- Bilingual a plus.
- Alternate to these qualifications as the Superintendent and/or Board of Education may find appropriate.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
- Well-developed typing skills.
- Well-developed oral and written communication skills.
- Competence with computers and office machines, and a willingness to continuously upgrade those skills.
- Ability to work cooperatively with all staff and to interact with staff, students and the public in a positive manner.
- Ability to adapt to change quickly and to accept new and challenging tasks as they arise.
- Willingness to become trained in first aid.
- Ability to be bonded.
EQUIPMENT OPERATED:
- Computer and printer.
- Copier.
- Various other office machines, educational equipment and tools.
- Public address system.
- Bus radio.
WORKING CONDITIONS :
- Repetitive hand motions (typing/computer).
- Potential exposure to blood or other body fluids and tissue.
- Occasional operation of a vehicle in inclement weather; that is, being prepared to come to school on all scheduled work days except calamity days.
- Some interaction with unruly children.
- Occasional interaction with angry or distraught adults.
- Regular requirement to sit, stand, walk, talk, hear, see, read, reach, stretch with hands and arms, stoop, crouch, and kneel.
- Frequent requirement to lift, carry, push and pull various items; for example, books and supplies, up to 25 lbs.
CONDITIONS OF EMPLOYMENT:
- Length of Employment: One Year Limited Contract
- Salary: Based on current classified salary schedule with appropriate experience and training
