Description

The Homeless Management Information System (HMIS) Administrative Coordinator will support the Centralized Diversion Manager with data migration, managing, tracking, and reporting required information into shared data systems (Clarity, Agency, and Forward), and be responsible for auditing files for accurateness to ensure contractual compliance. This position requires critical thinking and analysis through a race equity lens, as well as demonstration of compassion, understanding and empathy while working with diverse staff, guests and community partners in a multi-racial and multi-cultural environment.

The HMIS Administrative Coordinator actively engages in Mary’s Place racial equity work – striving for racially equitable outcomes and taking responsibility for creating, maintaining and affirming communities for people of color, immigrants and refugees, trans and gender-non-conforming people, and other populations who routinely encounter systemic oppressions.

This is a full-time, non-exempt remote position. There will be mandatory in-person meetings occasionally with an average of once per month. The hourly wage is $27 - $32 DOE.

This position reports to the Data and Evaluation Director. This position does not supervise other staff.

Key Responsibilities

  • Support the Centralized Diversion Manager with data migration, and managing, tracking, and reporting required information into shared data systems (Clarity, Agency, and Forward). This will include:
    • Consistent input of participant entry and exit information into the HMIS and AGENCY systems and keep up to date with tracking, and reconciliation of CBO financial assistance requests
    • Conduct regular data audits to ensure accuracy across systems
    • Conduct follow-up calls with families to collect HMIS data points as needed
    • Track all program enrollments, services, eligibility and exit placements
    • Run regular progress reports
    • Review, confirm, and de-identify demographic data as needed to maintain compliance with user policies and confidentiality requirements
    • Support with HMIS enrollments on behalf of requester organizations who don’t currently have access (as needed);
    • Monitor HMIS/Data reports to assure consistency with other hard copy records and logs
    • Ensure data entry and requests are timely and accurate
  • Responsible for auditing closed files for accurateness and to ensure contractual compliance
  • Comply with requests for program data, coordinate completion of all reports and participate in preparation for program/contract audits as needed
  • Ensure integrity of data, verifying information regarding data quality and data completeness
  • Attend agency and community meetings as directed by supervisor
  • Assist with other data projects as assigned
  • Work with Building Changes and KCRHA to ensure alignment in the data platform according to HMIS standards; and
  • Adhere to staff guidelines as outlined in the Employee Handbook
Requirements

Skills/Qualifications Required

  • Highly organized and attentive to detail
  • Ability to work as a part of a team and independently manage tasks
  • Familiarity with Homeless Management Information System (HMIS) and social services supporting vulnerable families/individuals
  • Demonstrated ability to learn new data systems
  • Basic understanding of databases; familiarity with SQL a plus
  • Working knowledge of office equipment, computer hardware and peripheral devices
  • Comfortable working on a computer for multiple hours a day
  • Able to speak, read, write and understand English
  • Ability to work successfully in a collaborative, team-orientated organization
  • Commitment to racial equity and social justice
  • Highly motivated, resourceful, flexible, and possesses a positive attitude and sense of humor
  • Strong communication and documentation skills

Physical Requirements

  • Ability to converse with and listen to people in many different settings
  • Ability to use a computer and telephone, as well as other standard office equipment
  • Work takes place in a social services environment where long periods of sitting, working on a computer
  • Travel to program sites and meetings outside the site and around the county is necessary
  • Ability to work in an environment where there may be animals present, including dogs
