What are the responsibilities and job description for the Seasonal Administrative (Tax) Assistant position at Martin Tax & Financial Services?
We are looking for organized, detail-oriented, and customer-focused individuals to join our team for the 2026 tax season. As an Administrative Assistant, your role involves assisting both clients, and Tax Preparers. Tasks will range from direct, client-facing customer service, to "behind the scenes" administrative work, including client communication (in person, answering phone, and responding to emails), helping clients navigate IRS website, scheduling appointments, receiving, organizing, and scanning tax documents, facilitating document submission via our client portal, ensuring proper document retention, processing client payments, and various other administrative tasks. The ideal candidate should be adaptive and flexible. To be successful in this role, you should have a high level of accuracy in all completed tasks, a willingness to provide support in a multitude of ways across the organization, and a generally pleasant personality.
This is a seasonal position starting in January 2026 through April 2026 with potential extensions depending on current business needs.
We are currently looking to fill our Thursday and Friday (daytime) shifts.
Responsibilities
- Receptionist functions including scheduling, and answering and making calls
- General clerical tasks including filing, photo copying, faxing, printing, etc.
- Distribute supplies as needed to office professionals, assisting with obtaining items from lower level (downstairs)
- Facilitate document submission via client portal
- Ensure proper document retention
- Assist clients in navigating IRS website
- Light cleaning duties
Skills
- Proven work experience in an Administrative and Customer service based role
- Proficiency in Microsoft Office Suite and ability to learn and adapt to different software and other technologies
- Ability to work well with others
- Receptive to corrective training
- Hands-on experience with office equipment (e.g. fax machines and printers)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
- Ability to lift 30 lbs. and move boxes up and down stairs as needed for storage and distribution of supplies.
