Key Responsibilities:
- Answer, screen, and forward phone calls and emails.
- Greet and assist clients, visitors, and staff in a professional manner.
- Manage calendars, schedule appointments, and coordinate meetings.
- Prepare, proofread, and format correspondence, reports, and other documents.
- Maintain organized filing systems (physical and electronic) for easy access to records.
- Handle incoming and outgoing mail, faxes, and packages.
- Assist with data entry and recordkeeping as required.
- Ensure office supplies are stocked and equipment is maintained.
- Uphold confidentiality and handle sensitive information appropriately.
Qualifications:
- High school diploma or equivalent; additional education or certification in office administration is a plus.
- Proven experience in an administrative or secretarial role.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills in English and Spanish
- Proficiency with office software (Microsoft Office Suite, email, calendar tools).
