Key Responsibilities:

  • Answer, screen, and forward phone calls and emails.
  • Greet and assist clients, visitors, and staff in a professional manner.
  • Manage calendars, schedule appointments, and coordinate meetings.
  • Prepare, proofread, and format correspondence, reports, and other documents.
  • Maintain organized filing systems (physical and electronic) for easy access to records.
  • Handle incoming and outgoing mail, faxes, and packages.
  • Assist with data entry and recordkeeping as required.
  • Ensure office supplies are stocked and equipment is maintained.
  • Uphold confidentiality and handle sensitive information appropriately.

Qualifications:

  • High school diploma or equivalent; additional education or certification in office administration is a plus.
  • Proven experience in an administrative or secretarial role.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills in English and Spanish
  • Proficiency with office software (Microsoft Office Suite, email, calendar tools).
  • Professional demeanor and ability to interact with diverse clients and staff.

Work Environment:
Office-based, may require some overtime depending on organizational needs. Interaction with staff, clients, and external partners is frequent.
