Purpose of Job |
School secretaries are essential to the success of Weakley County Schools. They are the face and voice of the school and often the person who sets the tone for visitors and families who want to feel welcome on campus. Throughout the day, the school secretary ensures the smooth operation of the school day through coordination and communication with various personnel within and outside the district.

Qualifications |
· High school diploma · Experience in the area assigned preferred · Excellent written and verbal communication skills · Proficiency in Microsoft Word and Excel · Attention to detail · Team mentality · Positive attitude, polite and professional in all interactions · Ability to establish and maintain cooperative working relationships with colleagues

Job Duties |
· Answer phones and greet visitors; acts as receptionist for the school · Maintain calendars, appointments, and schedules · Processes bus requests and other student/parent office business · Prepare communications such as emails, purchase orders, invoices, reports, and other correspondence · Monitors staff attendance and leave system · Create and maintain filing systems, both electronic and paper-based · Type, copy, scan with efficiency using office technology · Maintain spreadsheets and other records · Manage accounts, timesheets, and payroll · Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies. · Perform other duties as assigned. Specific schools have their own essential duties and responsibilities. A school secretary must work with administration to ensure the appropriate work is complete and the school operates efficiently.

· Maintain consistent, predictable attendance and punctuality, including participation in required meetings, trainings, and professional development · Perform all duties with integrity, professionalism, accountability and in compliance with all school, district, state, and federal laws/policies. · Interact professionally and effectively with students, parents/guardians, coworkers, administrators, and members of the public. · Maintain appropriate confidentiality of student, personnel, and district information. · Follow all safety procedures and report hazards, incidents, or unsafe conditions in a timely manner. · Use district equipment, technology, and resources appropriately and in support of assigned duties. · Perform other duties as assigned by supervisors or administrators. · Model nondiscriminatory practices in all activities.
