This position is responsible for managing the daily student refund process, ensuring compliance with federal, state, and institutional regulations, and providing exceptional customer service to students and parents. This role involves collaboration with various university departments to facilitate accurate and timely refunds, as well as maintaining detailed records and logs related to refund transactions.
This position performs a variety of technical accounting and auditing work, which requires the application of accounting theory and practice. The position must follow departmental policies and procedures that adhere to federal, state, and institutional policies governing the administration of financial information, West Virginia State Code and WVSTO cash management policies, Governmental Accounting Standards Board (GASB) requirements, NCAA Conference scholarship rules, IRS international scholarship withholding regulations, and U.S. Department of Education Title IV rules and regulations in the processing of refunds.
This position requires cross training in various aspects of collections; contracts; campus-based, state, and federal loan programs and grants; and student accounting and auditing services.

- Process Refunds: Manage the daily process of generating student refunds, which may include direct deposits (using systems like TouchNet, Banner, ARGOS, etc.) and paper checks.
- Verify Accuracy & Compliance: Review refund requests, verify transaction details, and ensure all required documentation is complete and accurate before processing payments. This includes compliance with federal regulations, particularly related to the Return of Title IV Funds (R2T4) for withdrawn students.
- Manage Financial Transactions: Process multiple types of refunds, including debit/credit card, refunds to athletes, return of outside scholarships and private loan funds, and miscellaneous departmental refunds.
- Customer Service: Assist students, parents, and university departments with questions related to student refund activity, refund status, and stop payment and reissues as needed. This involves managing the departmental refund email account and stale dated check prevention.
- Reconciliation & Reporting: Perform daily reconciliations to ensure financial aid disbursed and approved refund batches balance and are accurate. Reconcile and prepare the refund bank account closeout reports including preparing the imprest fund invoice for reimbursement from the WV Auditor’s Office timely to maintain adequate funding to process refunds.
- Documentation & Record Keeping: Create and maintain detailed meticulous reconciliations and documentation of all transactions and communications, ensuring accurate and ethical record keeping that meets all regulatory standards.
- System Maintenance: Assist with setting up new academic terms by updating course refund schedules and dates within the university’s systems (e.g., Banner).

Education
Bachelor’s degree with coursework in business, finance, auditing, and accounting.
Experience
- 1-2 years of related accounting experience, preferably in a Bursar’s or Financial Aid Office.
- Exceptional oral and written communication skills.
- Must be able to meticulously and accurately complete tasks.
- Proficient in all standard computer applications, including Microsoft Word, Excel, and Access.
- Strong commitment to customer service excellence.
- Ability to work in a team environment and adept to peak work periods.

- Proficiency in data entry and relevant financial or accounting software (e.g., CRM systems, Banner).
- Knowledge of financial aid processes, university refund policies, and federal/state regulations.
- Excellent communication skills, patience, and a customer-focused mindset for managing inquiries and resolving discrepancies.
- Ability to work both independently and within a team and collaboratively with various departments, such as Financial Aid, Registrar’s, and Housing.
