WHSmith North America has an exciting opportunity for an AP Analyst, Lease Operations to join our team in Las Vegas, NV!

Position Summary

The Analyst provides administrative and accounting support to the Lease Accounting team. This role is responsible for managing landlord invoicing processes, supporting monthly close activities through accrual analysis, maintaining landlord relationships, and coordinating communications through the department inbox. The position works closely with lease accountants and business partners to ensure timely processing of occupancy-related expenses and accurate financial reporting.

What You'll DO

Invoice Processing & Expense Management

• Review, process, and route landlord invoices including utilities, storage, parking, badging, common area maintenance, and other occupancy-related expenses.
• Analyze invoices and determine appropriate general ledger coding based on company accounting policies.
• Ensure invoices are submitted accurately and timely for payment approval and processing.
• Research invoice discrepancies and work with landlords and internal stakeholders to resolve issues.
• Maintain supporting documentation and records for all processed invoices.

Accruals & Financial Analysis

• Review occupancy-related expense accounts for completeness and accuracy.
• Analyze monthly expense activity to identify expenses requiring accruals.
• Work with landlords and internal departments to obtain supporting documentation for unbilled expenses.
• Assist the Lease Accounting team with month-end close activities related to occupancy expenses.
• Monitor recurring expenses and identify trends or unusual fluctuations requiring investigation.

Landlord Account Manager

• Serve as a primary point of contact for landlord inquiries regarding account balances and payment status.
• Respond to landlord questions regarding outstanding balances and remittance activity.
• Provide remittance statements and payment support documentation as requested.
• Follow up with landlords to obtain missing invoices, resolve billing discrepancies, and ensure accurate account maintenance.
• Maintain positive professional relationships with landlords and property management contacts.

Team Inbox Management

• Monitor and manage the Lease Accounting team mailbox.
• Route inquiries to appropriate team members and ensure timely responses.
• Track open requests and follow up to ensure resolution.
• Maintain organization and prioritization of incoming communications.

Team Collaboration & Support

• Collaborate closely with Lease Accountants and other members of the Finance organization.
• Support special projects, audits, and process improvement initiatives as assigned.
• Cross-train and provide backup support for other Lease Accounting functions when needed.
• Contribute to a positive, collaborative, and customer-service-oriented team environment.

Compensation: $50,000 - $60,000 annually

Job Requirements

Qualifications:

Team Collaboration & Support

• 2 years of administrative, accounts payable, lease administration, or accounting support experience.
• Experience working with invoices, vendor communications, and financial data preferred.

Knowledge, Skills, & Abilities

• Strong attention to detail and organizational skills.
• Ability to analyze expense activity and identify missing or unusual transactions.
• Effective written and verbal communication skills.
• Ability to manage multiple priorities and meet deadlines.

• Proficiency in Microsoft Excel, Outlook, and other Microsoft Office applications.
