Nature of Work

This is responsible administrative work coordinating and assisting with a variety of budget related activities and functions for Marshall County government. Activities associated with the job include greeting individuals and answering incoming calls to the Budget office and taking messages and/or referring individuals and/or employees to the appropriate party for assistance. Additional activities include assisting with filing, grants, and other accounting duties as needed. Job related duties require knowledge of basic office skills, strong organizational, interpersonal, and decision-making skills, and dedicated attention to detail. Job performance is evaluated by the Director of Accounts and Budgets through review of knowledge and expertise in budget administration, knowledge of budget functions including relevant laws and regulations, organizational, interpersonal, and decision-making skills, accuracy, and thoroughness of completed tasks and the level of administrative support provided for budget related functions.

Illustrative Examples of Work

· Greets visitors and employees visiting the budget office, answers routine questions, provides general information and/or refers them to the appropriate party for assistance.

· Answers incoming calls and routes calls to the appropriate staff, takes messages when necessary and/or refers to the appropriate party / department for assistance.

· Assist with grants and capital assets.

· Completes general office tasks such as filing, copying, and scanning.

· Gathers information for a variety of budget related projects.

· Ensures the proper maintenance of office materials, postage and supplies and assists with the maintenance and repair of office equipment, furniture, and fixtures.

· Retrieves, stamps, and distributes mail to office staff and weighs and applies appropriate postage to outgoing mail.

· Performs related duties as required.

Necessary Requirement of Work

Graduation from an accredited four-year high school, with additional course work in business administration, personnel management, or closely related field; a minimum of three years’ experience working in an office environment; knowledge of employment law; or any equivalent combination of education or experience to provide the following knowledge, abilities, and skills:

· Knowledge of basic accounting principles and practices.

· Knowledge of computer software programs including Microsoft Office suite and Skyward.

· Ability to prioritize and organize personal time and activities and meet all established deadlines.

· Ability to effectively provide assistance to supervisors, staff, and the public.

· The ability to maintain confidential information in an organized and acceptable manner.

· Skill in the use of office technology including a computer, laptop, copier, calculator, scanner, etc.

Physical Requirements

· This is light to medium work requiring moderate static, explosive, dynamic and trunk strength and requiring the exertion of up to 40 pounds of force occasionally and up to 5 pounds of force frequently to move objects.

· Work requires considerable flexibility, mobility, and speed of limb movement.

· Work requires moderate effort and stamina.

· Work requires both gross body equilibrium and coordination for balancing, bending, stooping, kneeling, and walking.

· Work requires arm/ hand steadiness and manual and finger dexterity.

· Vocal communication is required for expressing or exchanging ideas by means of the spoken word.

· Hearing is required to perceive information in both quiet and noisy environments and determine the direction of sounds.

· Visual acuity is required for the operation of office equipment, determining the accuracy and thoroughness of work, color differentiation, and observing general surroundings and activities.

· The worker is subject to inside and occasional outside environmental conditions.
